Overview
We are a growing commercial electrical contracting company seeking a highly organized and detail-oriented Office Manager / Bookkeeper. This role is responsible for managing day-to-day financial operations, supporting project billing, and ensuring accurate and timely administrative processes across the business.
This position plays a critical role in maintaining financial visibility, supporting project execution, and enabling leadership to focus on growth.
Key Responsibilities
Financial Management & Bookkeeping
- Manage all accounts payable and accounts receivable
- Reconcile bank and credit card accounts in QuickBooks
- Maintain accurate and up-to-date financial records
- Assist with monthly close processes
Invoicing & Billing
- Prepare and send invoices to residential customers
- Manage progress billing and invoicing to general contractors
- Track outstanding invoices and follow up on collections (AR aging)
- Ensure billing documentation is complete and accurate
Payroll & Employee Administration
- Process payroll and maintain payroll records
- Coordinate employee time tracking and ensure accuracy
- Support onboarding paperwork and maintain employee files
Construction Administration
- Manage lien waivers and track compliance requirements
- Maintain certificates of insurance (COIs)
Vendor & Purchasing Support
- Process vendor payments and maintain relationships
- Track material purchases and ensure proper job coding
- Coordinate with field and warehouse on material needs
Office Operations
- Support daily administrative functions (phones, emails, filing)
- Maintain organized digital and physical records
- Assist leadership with reporting and operational support
Preferred Qualifications
- 3 years experience in percentage of completion bookkeeping, office management, or similar role
- Experience with QuickBooks or other billing software
- Experience in construction or electrical contracting (required)
- Understanding of construction billing (milestone billing) and lien waivers.

Compensation & Structure
- Salary: $60,000
