What are the responsibilities and job description for the Office Administrator position at Ohana Parking Systems?
Are you the organized anchor that holds the team together?
Ohana Parking Systems is growing, and we need a meticulous, reliable Office Administrator to keep our headquarters running like a well-oiled machine. While our Techs are in the field and our Sales team is closing deals, you will be the core of the office—handling the finances, managing the processes, and keeping the communication flowing.
We don’t need someone who rushes just to look busy. We want someone who takes their time, sweats the details, and gets it right the first time.
What You'll Be Doing:
- The Financial Guardian: You will own the billing cycle. You’ll generate invoices accurately, send them out on time, and take accountability for tracking down payments. You aren't afraid to politely but firmly chase down accounts receivable.
- The Voice of Ohana: You will be the first point of contact, answering phones, fielding customer inquiries, and routing support tickets to our IT and Field Tech teams.
- The Process Master: We have specific ways of doing things. You will learn our processes, retain that information, and execute it consistently.
- Digital Navigation: You will use our office computers and software platforms daily to update records, track financials, and manage the schedule.
- Office Operations: Keep the day-to-day administration smooth—from ordering supplies to organizing digital files so the rest of the team can find what they need instantly.
You Might Be the One If You:
- Are Unshakeably Reliable: You are the anchor of our daily operations. Showing up to the office every day on time is non-negotiable for you.
- Value Accuracy Over Speed: You believe in "measure twice, cut once." You take your time to ensure invoices and data entries are perfectly accurate rather than rushing and making errors.
- Learn Quickly & Retain Information: You are eager to learn, follow directions closely, and take notes. You welcome feedback and make it a point to never make the same mistake twice.
- Are Self-Driven but Ask Questions: You know how to work independently and find things to do, but you are smart enough to raise your hand and ask a question when you aren't 100% sure how to proceed.
- Are Tech-Comfortable: You are halfway decent (or better!) with computers, comfortable navigating email, billing software, and basic spreadsheets.
- Have a Great Phone Presence: You can handle a frustrated customer with the "Aloha Spirit" and get them the help they need.
What We Offer (The Ohana Package):
- Consistent Schedule: A stable, Monday–Friday work week in a comfortable office environment.
- Competitive Pay: Based on your experience and organizational skills.
- 401(k): Plan for your future with our retirement program.
- Health & Wellness: Comprehensive medical, dental, and vision coverage.
- Paid Time Off & Holidays: Time to recharge and enjoy the islands.
- A Drama-Free Team: Join a respectful, hard-working crew that values what you do behind the scenes to keep the lights on.
Why This Role Rocks: You aren't just pushing paper; you are the financial and operational pulse of the company. When you invoice accurately and keep the office organized, you directly enable the rest of the team to upgrade the future of mobility in Hawai‘i.
