Position Summary

Our Client Information Risk Services Department (CIRS) has the opportunity for an experienced Business Intake Compliance Specialist to join the Firm’s expanding practice. The Business Intake Compliance Specialist is responsible for performing duties relative to compliant client/matter business intake and setup functions, and compliance actions/monitoring relative to Engagement Letters and Outside Counsel Guidelines and the like. Responsible for performing a variety of specific data changes as part of routine client/matter data management. Generates and provides various reports, as necessary. Performs data integrity review of information provided to CIRS. This position may sit remote.

Essential Functions

  • Contribute to the onboarding, review and database maintenance of the Firm’s collection of client engagement materials such as, but not limited to, engagement letters, outside counsel guidelines, master service agreements, business affiliate agreements, conflict waiver letters, etc.
  • Perform specific duties to assist in assembling the collection, including the review of document types to determine the accurate document classification and vital obligatory content for precise cataloging in the database.
  • Actively engage with process stakeholders including shareholders, practice assistants and administrative department heads throughout each instance of distribution, review, realization, comprehension and ultimate memorialization of key requirements obligated to the Firm during the client engagement relationship.
  • Provide guidance to lawyers, paralegals, practice assistants and administrative staff on understanding the Firm’s compliance practices relative to the activities of the BIC Group.
  • Be proficient, with appropriate training, of the operating specifics and reporting functionality of the specialized application maintaining the collection.
  • Perform various types of specific data changes as part of routine client/matter data management including, but not limited to, attorney credit allocations.
  • Perform data integrity review of information provided to CIRS, as necessary. Review any accompanying legal documents to understand and/or verify the necessary actions to comply with the service request and response. Actively communicate with data providers in instances of incomplete, unclear or questionable data.
  • Generate and provide reports such as, but not limited to, document collections by client, or document categories among all clients, or specific requirement clauses by client(s).
  • Generate and provide reports for audit letter responses.
  • Actively interact and collaborate with team members to provide deliverables and service to the highest and sustainable level of quality and professionalism as defined by CIRS department and/or Firm standards.
  • Communicate routinely with the Business Intake Compliance Manager about emerging issues or circumstances involving the BIC Group. Ensure issues are escalated timely.
  • Actively assist and support the Business Intake Compliance Manager in daily operations and functions.
  • Attend and participate in BIC Group and/or CIRS team virtual meetings.
  • Maintain awareness of trends, developments and new technologies impacting the BIC Group.
  • Participate in CIRS and/or Firm project teams/task forces in various initiatives.
  • Assume additional duties and/or responsibilities, as requested.

  • Strong research, analytical and reasoning skills, including a demonstrated understanding of how data interrelates.
  • Excellent and consistent attention to detail and accuracy.
  • Understanding of basic legal terminology and ability to recognize and analyze different types of pertinent documents.
  • Strong verbal and written communication skills and able to effectively communicate and explain to all levels of attorneys and staff in the Firm.
  • Ability to effectively handle multi-task assignments within the parameters of the job functions, and to perform in an environment of shifting turnaround deadlines.
  • Reliable, dependable and able to work independently or as part of a team.
  • Excellent customer service orientation; positive and proactive manner.

Benefits

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $45,000 and $51,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law. This position qualifies for the below staff benefits.
