We are seeking a dynamic and highly organized Office Operations Assistant to join our team! In this vital role, you will be work near our front office members to support day-to-day check-in /check-out, scheduling and holding the standard high for the most positive face-to-face patient experiences. Ensuring smooth operations and exceptional support across administrative, clerical, and customer service tasks. Your proactive approach and attention to detail will help foster an efficient, welcoming environment where team members can thrive. Coordinate outside resources to handle periodic facility needs and function as an assistant for running errands for the office and doctor as needed. Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems efficiently, handling inquiries and routing calls with clarity and courtesy.
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
- Assist with calendar management and scheduling for team meetings, appointments.
- Provide exceptional customer support by responding promptly to inquiries via phone or email and ensuring client needs are met with professionalism.
- Perform general clerical tasks such as proofreading documents, data entry, copying, scanning, and maintaining office supplies inventory.
Do your qualification match?
Prior dental office experience is valuable but not required. We are seeking candidates whose experience will translate well into the purpose, mission and philosophy of our office.
- Proven office management or administrative experience in a fast-paced environment.
- Strong computer literacy .
- Experience with bookkeeping software such as QuickBooks is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Demonstrated phone etiquette skills with experience managing multi-line phone systems.
- Strong typing skills with attention to detail for proofreading and data entry accuracy.
Previous personal assistant or clerical experience is advantageous but not required; a positive attitude and eagerness to learn are essential.
