Job Overview
We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our Dental Office team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires proficiency in office management, strong communication skills, and the ability to multitask effectively in a fast-paced environment.

Duties

  • Greet and assist clients and visitors in a friendly and professional manner.
  • Manage multi-line phone systems, directing calls appropriately while maintaining excellent phone etiquette.
  • Perform data entry tasks, ensuring accuracy in client records and appointment scheduling.
  • Maintain organized filing systems for both physical and electronic documents.
  • Utilize QuickBooks for basic bookkeeping tasks as needed.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide administrative support to staff as required, including proofreading documents and preparing reports.
  • Handle customer support inquiries with professionalism, ensuring a high level of client satisfaction.
  • Utilize Microsoft Office and Google Workspace for various clerical tasks such as typing correspondence and creating presentations.
  • Maintain a clean and organized front desk area to create a welcoming environment.

Requirements

  • Previous experience in an office setting or as a front desk coordinator is preferred.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Proficient computer skills, including experience with Microsoft Office Suite and Google Workspace.
  • Excellent typing skills with attention to detail for data entry tasks.
  • Bilingual candidates are highly encouraged to apply
  • Experience in customer service or administrative roles is essential; prior experience as a dental or medical receptionist is a plus.
  • Familiarity with multi-line phone systems and strong phone etiquette are required.
  • Ability to work independently while also being an effective team player.
