Job Summary
We are seeking a dynamic and highly organized Secretary to join our team! As a Secretary, you will serve as the first point of contact for visitors and callers, manage scheduling and correspondence, and assist with various clerical and administrative tasks to keep our office running efficiently. Duties
- Answer multi-line phone systems promptly using professional phone etiquette, directing calls efficiently and courteously
- Greet visitors with a warm, welcoming demeanor while maintaining security protocols
- Manage calendar appointments, schedule meetings, and coordinate conference room bookings using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate filing systems—both physical and electronic—ensuring easy retrieval of documents
- Prepare, proofread, and distribute correspondence, reports, and other documents with attention to detail
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial record-keeping
- Provide customer service support by addressing inquiries, managing client or patient records (including medical or dental reception duties), and supporting overall office management activities
Qualifications
- Proven experience in an administrative or clerical role with strong office management skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Prior experience with QuickBooks, bookkeeping, or basic accounting is preferred
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Exceptional typing speed and accuracy for efficient document preparation and data entry
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities
- Experience as a medical or dental receptionist is a plus but not required; relevant personal assistant experience is also valued
- Knowledge of office equipment such as multi-line phone systems, fax machines, printers, and scanners
