Duties
- Provide comprehensive executive administrative support, including calendar management and scheduling using Microsoft Outlook Calendar and Google Workspace.
- Coordinate and assist with event planning for company meetings, conferences, and special events.
- Prepare, proofread, and transcribe documents, reports, and presentations with high accuracy.
- Handle bookkeeping tasks using QuickBooks and perform data entry to maintain accurate financial records.
- Organize files, maintain records, and oversee filing systems for easy retrieval of information.
- Support project coordination efforts across departments to ensure timely completion of tasks.
- Manage office supplies inventory and oversee front desk operations to ensure a welcoming environment.
- Utilize office management software such as Microsoft Office Suite (Word, Excel, PowerPoint) and DocuSign for document signing processes.
- Perform clerical duties including typing, proofreading, transcription, and general office support as needed.
- Assist with personal administrative tasks for executives as required to enhance productivity.
Requirements
- Proven experience in office management, administrative support, or related roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and familiarity with DocuSign.
- Excellent typing speed and data entry skills with high accuracy.
- Strong project coordination abilities with experience in event planning.
- Exceptional phone etiquette skills and experience managing multi-line phone systems.
- Ability to handle confidential information discreetly and professionally.
- Experience in bookkeeping or basic accounting is preferred but not mandatory.
- Demonstrated ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
- Excellent proofreading and transcription skills to ensure high-quality documentation.
- Prior experience supporting executives or personal assistants is highly desirable.
