Qualifications:
To qualify for the GG-09 grade level, you must possess at least one year of specialized experience at the next lower grade level (GG-08). Specialized experience for this grade is the use of office automation systems to produce documents and perform a variety of office automation functions such as time and attendance reporting, action item tracking, travel document preparation and retrieval, and calendar maintenance.
To qualify for the GG-10 grade level, you must possess at least one year of specialized experience at the next lower grade level (GG-09). Specialized experience for this grade is providing guidance of office automation systems to produce documents and perform a variety of office automation functions such as time and attendance reporting, action item tracking, travel document preparation and retrieval, and calendar maintenance. Additionally, provides leadership and guidance to the division administrative assistants in coordinating office-wide activities and initiatives, along with implementing new and existing agency-wide processes.
The ideal candidate will be able to demonstrate the following:- Demonstrated skill with computer-based applications, including Office365, ADAMS, E-Concurrence, Teams, SharePoint, ServiceNow, HCM Cloud, TMS, and other database applications (i.e. maintaining automated tracking systems.)
- Demonstrated ability to provide administrative support in a variety of areas (time and attendance reporting, travel, etc.).
- Writes in a clear, concise, and organized manner. Knowledge of proper grammar, spelling, and punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness.
- Demonstrated ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines.
- Demonstrated ability to deal tactfully, efficiently and professionally with all levels of personnel, and to work collaboratively within a team.

Responsibilities:
The successful candidate will perform the full range of duties for the division.The duties at the GG-09 level may include, but are not limited to:
- Assists in providing administrative support to office leadership, including managing schedules, tracking action items, and coordinating routine meetings.
- Prepares, edits, and finalizes correspondence, reports, presentations, and analytical materials, ensuring accuracy and compliance with established procedures in NRC Management Directive 3.57 "Correspondence Management" and NRC Editorial Style Guide and obtain any necessary concurrences.
- Screens calls and visitors, routing inquiries to appropriate staff.
- Assists in preparing meeting materials, agendas, and background documentation.
- Uses standard office automation tools such as Microsoft Office365, Teams, SharePoint, and other NRC systems to support routine administrative tasks.
- Coordinates routine travel arrangements and prepares travel authorizations and vouchers with oversight.
- Tracks controlled correspondence and action items, ensuring awareness of deadlines.
- Supports office administrative processes and procedures, seeking guidance for non-routine tasks.
- Handles sensitive information with discretion and follows established office procedures.
- Provides full administrative support to office leadership, including independently managing schedules, coordinating meetings, and adjusting priorities as needed.
- Prepares, edits, and finalizes correspondence, reports, presentations, and analytical materials, ensuring accuracy and compliance with established procedures in NRC Management Directive 3.57 "Correspondence Management" and NRC Editorial Style Guide and obtain any necessary concurrences.
- Reviews controlled correspondence and action items submitted for leadership signature or concurrence.
- Leads office-wide administrative coordination, including facilitating meetings among Administrative Assistants.
- Provides training, guidance, and process support to administrative staff across the office.
- Serves as liaison between office leadership and senior-level stakeholders across NRC, internal NRC partners.
- Uses office automation tools such as Microsoft Office365, Teams, SharePoint, and other NRC systems to support communication, coordination, document preparation, and administrative processes.
- Coordinates complex travel activities, including international travel support, logistics, and preparation of travel packages.
- Handles protected information, including classified, Safeguards, SUNSI, or other controlled categories, in accordance with NRC requirements.
- Recommends improvements to administrative processes and contributes to office-wide efficiency initiatives.
