Job Description
The OLR Employee Benefits Operation Division is seeking to hire a Document Scanning Clerk to report directly to the Supervisor of the Operations Division. The document scanning clerk will be responsible for converting physical documents into digital format by operating scanning equipment, organizing files, and ensuring accurate electronic record keeping. This role requires attention to detail, organizational skills and the ability to handle confidential, sensitive information securely.
Key Responsibilities:
- Prepare physical documents for scanning by removing staples, paperclips and ensuring pages are in order.
- Operate scanners and related equipment to create digital copies of documents.
- Review scanned images for clarity, completeness, and accuracy.
- Organize and label scanned files in accordance with OLR’s filing system and naming conventions.
- Upload scanned files to designated databases and shared drives.
- Maintain confidentiality of sensitive information and follow data security protocols.
- Track, log and report completed scanning tasks.
- Perform basic troubleshooting of scanning equipment.
- Assist with other clerical duties as needed, such as photocopying, filing or data entry.

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.
