General Definition of Work
The Senior Executive Assistant to the General Counsel provides a wide variety of complex and confidential administrative and clerical support, including the budget of the legal department, and communicates information on behalf of the Office of General Counsel under the direction of the General Counsel. Interacts with various CMS officials, employees, counsel and agents in person, electronically or via telephone on a variety of issues including, but not limited to scheduling meetings, compiling reports, taking complaints and reviewing and forwarding legal issues to appropriate counsel for analysis and resolution.

Place of Work
The normal place of work is on the premises used by Charlotte-Mecklenburg Schools. Charlotte-Mecklenburg Schools reserves the right to require you to work at such other place(s) as it may reasonably require from time to time.
Essential Functions
- Provides a wide range of complex office administration and support for the Office of General Counsel
- Provides legal and administrative support to the General Counsel
- Prepares and reviews various reports and performs special projects
- Maintains the department’s appointment and out-of-office calendar
- Refers inquiries to appropriate staff
- Compiles records and documents; generates reports
- Prepares hearing notice letters and Board determination letters
- Implements best practices with customer service by receiving, reporting, and responding to all mediums of inquiry in a timely and professional manner
- Participates in creating and administering the Office of General Counsel budget
- Monitors budget by tracking expenditures and generates budget reports
- Prepares spreadsheets for budgets, and contracts, including tracking and maintaining expenditures and reconciling accounts
- Serves as an approver for financial transactions representing the department
- Sources and manages office supplies and inventory
- Arranges staff attendance at conferences, workshops, and meetings, secures airline transportation and hotel accommodations
- Completes itineraries, agendas, and expense reports of expenditures and reimbursements for travel-related meetings
- Provide support for overload relief with other administrative assistants, as requested
- Perform related work as assigned or required

- General knowledge of principles and practices of public schools
- General knowledge of required records preparation and maintenance
- Thorough knowledge of county and school board policies, procedures, and standards regarding school systems
- Knowledge of accounts payable policies, practices and procedures; general knowledge of routine accounting principles
- Ability to maintain professional and emotional control under stress

Education and Experience
- High School Diploma or equivalent required
- Associate degree in related area preferred
- Minimum of five (5) years’ experience in office administration and client/customer relations skills
- Equivalent combination of experience and education
- Experience using database software preferred
- Experience preparing document templates preferred
- Experience using budgeting software preferred
Special Requirements
- Possess and maintain a valid Driver’s License or ability to provide own transportation
