Position Overview
Off the Hook Arts (OtHA) seeks a highly organized, collaborative, and detail-oriented Events, Marketing, and Volunteer Coordinator to support the planning and execution of our signature concert experiences. This part-time, remote position is ideal for a recent graduate or early-career professional with an interest in hospitality, live music, or event production.
This role is central to delivering high-quality audience and artist experiences across OtHA’s core programs, including the Magic Sunset Series (spring), Music Spoke chamber music festival (June), and Sunday Salon (November).
Key Responsibilities
Event Coordination (60%)
- Plan and execute event logistics from concept through completion (in-person or virtual)
- Coordinate with vendors including catering, sound technicians, and venue representatives
- Manage event timelines, run-of-show documents, and production schedules
- Serve as a key liaison between artists, vendors, and the OtHA team
- Support on-site or remote event execution, ensuring a seamless guest experience
- Coordinate with events committee for larger events
- Attend site visits
- Reports to Artistic Director
Event Marketing (20%)
- Assist with promotion of concerts and events across digital channels
- Coordinate marketing timelines and support content creation (email, social, web updates)
- Track basic marketing metrics and support audience engagement efforts
Volunteer Management (20%)
- Recruit, schedule, and communicate with event volunteers
- Oversee volunteer roles including setup/teardown, guest check-in, and bar service
- Ensure volunteers are well-prepared and supported for each event
Qualifications
- 2 years of experience in event coordination, hospitality, marketing, or related field
- Strong organizational and project management skills with attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Proven customer service mindset and professionalism
- Experience with Google Workspace (Docs, Sheets, Drive, etc.)
- A collaborative, proactive approach and willingness to take initiative
- Availability to work evenings and weekends as needed to support events
