Job Description:
Octagon Media is seeking a highly organized Traffic & Project Coordinator with a strong background in advertising and agency operations. This role is responsible for managing workflow across multiple departments, ensuring deadlines are met, and keeping all projects on track from concept to completion. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and has exceptional communication and organizational skills.
Key Responsibilities:
- Oversee day-to-day project workflow between Account Services, Creative, and Digital teams.
- Manage and update projects in Asana, Airtable, and Pipedrive to ensure accurate task assignments, priorities, and timelines.
- Develop and maintain project schedules, timelines, and deliverable tracking systems.
- Facilitate daily/weekly traffic meetings to review job status, workload distribution, and upcoming deadlines.
- Coordinate with department leads to allocate resources effectively and prevent bottlenecks.
- Track client deliverables, ensuring approvals and feedback are obtained on schedule.
- Communicate project updates, risks, and next steps with internal teams and leadership.
- Ensure all assets, proofs, and deliverables meet quality standards before client submission.
- Maintain organized digital records of projects, creative briefs, and final files.
- Support business development by helping organize RFP responses and coordinating proposal deliverables.
Qualifications:
- Bachelor’s degree in Marketing, Advertising, Communications, or related field.
- 3–5 years of experience in project or traffic management within an advertising, marketing, or creative agency.
- Advanced proficiency in Asana, Airtable, and Pipedrive (or similar CRM/project tools).
- Strong organizational, problem-solving, and time-management skills.
- Excellent written and verbal communication skills.
- Ability to handle multiple projects simultaneously and meet tight deadlines.
- Detail-oriented with a proactive, solution-driven mindset.
Preferred Skills:
- Understanding of creative workflows for digital, print, and video campaigns.
- Familiarity with agency processes including media buying, production, and client reporting.
- Experience supporting RFP submissions and coordinating with cross-functional teams.
Job Type: Full-time
Pay: $24.19 - $29.13 per hour
