Description SUMMARY Oconto County is seeking an Administrative Assistant to work at New View Industries, located in Gillett, WI. Qualified candidates would be responsible for performing a variety of administrative support functions using various computer software programs and other office equipment. Main receptionist for agency, assisting clients of the agency, and general public, in such areas as telephone contact, appointment scheduling, and general information.
Ability to perform a variety of administrative, accounting, clerical and receptionist duties. Must understand, support and work within the values, mission and vision of the agency. Examples of Duties ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to: Maintains the operation of the front office and is the main receptionist for all visitors.
Ability to handle routing and emergency situations in absence of the Vocational Services Manager. Provides clerical support for New View Manager and New View staff including case managers, supervisors, etc. Develops and maintains meeting agendas for all staff meetings and safety meetings.
Responsible for taking meeting minutes. Maintains daily tracking forms for clients and visitors. Coordinates client transportation schedules with input from case managers.
Coordinate client transportation delays or cancellations based on weather or other events. Completes client related forms and reports including all W-2 forms and accompanying Federal and State reports, monthly social security reports, distribution of payroll stubs, hourly wage updates and maintaining accurate payroll reports for auditors. Enter daily client production timesheets and client attendance into internal payroll system.
Works with the Production supervisor to invoice businesses on packing slips and orders completed. Ensure revenues are received and follow up with business partners as needed. Invoices other activities at New View including program services, van rides, private pay, etc.
Assists accountants in client bi-weekly payroll process, bank depositing, accounts receivable, accounts payable, and maintaining proper monetary documentation. Maintains appropriate client records including ensuring clients are entered properly into internal software systems and banking systems. Helps to ensure daily organization of client medications and documentation.
Computes payroll information to determine workman's compensation payments. Handles all client workmen's compensation claims and paperwork. Compiles information to complete the yearly State and Federal sub-minimum wage certificates and prevailing wage surveys.
Maintains inventory of supplies. Orders agency supplies, equipment, and forms, as needed, and is responsible for the organization of the agency supply room. Responsible for setting up and maintaining agency business accounts.
Sorts and routes mail to appropriate staff as needed. Responsible for scanning agency documents and records into various state or county software programs. Maintains front office area, keeps area tidy for proper representation of the organization.
Participate in a program of staff development to enhance professional skills and knowledge through training and ongoing performance evaluations. Prepare for and respond to community emergencies including, but not limited to, natural and manmade disasters. Develop client break supervision schedule.
Perform all other duties as assigned. Typical Qualifications QUALIFICATIONS High school diploma or general education degree (GED) and one to three years of related, practical experience and/or training, or equivalent combination of education and experience. Proficient computer utilization skills.
Must be able to type 60 WPM. High proficiency in Microsoft Office products including Word, Power Point, Excel, Publisher, etc. Must be knowledgeable in general business practices and computer applications.
Prior experience with QuickBooks is preferred. Supplemental Information CERTIFICATES, LICENSES, AND REGISTRATIONS Must possess a valid driver's license, have a reliable means of transportation, and appropriate vehicle insurance.
