Overview
We are seeking an Administrative Assistant to join our Team at Genesee Lake School!
Genesee Lake School, a MyPath Company, provides residential, educational, and community-based services for children and young adults with emotional, behavioral, and developmental challenges. Our mission is to promote growth, independence, and a high quality of life for the individuals we serve.
Overview:
Performs administrative duties as required to support organizational operations and provides direct supervision to the Receptionist/Administrative Assistant.
Key Responsibilities:
Maintains student records and participates in the record review process.
Assists with the tracking and mailing of agency forms, consent forms, treatment plans, etc.
Distributes Pre-Admission Notes, Mental Health Assessments, and other student-centered plans, as requested.
Distributes letters, memos, listings, updates, etc. for departments at the Center and for Case Coordinators.
Maintains Safety Plans and Protective Supervision information on shared systems.
Enters data and multiple reports into shared systems.
Serves as the organization’s HIPAA officer.
Sets up new student files.
Creates and distributes student ID Cards to the appropriate departments.
Monitors the office supply budget; orders office supplies, and allocates expenses.
Picks up incoming mail at the driveway mailbox, sorts and distributes the mail.
Updates client files for Psychiatrist’s schedule diagnostics.
Maintains monthly Illinois Attendance Records and emails to Illinois guardians and caseworkers.
Directly supervises the Receptionist/Administrative Assistant I and assumes those responsibilities in the absence of that position.
Works on projects, tasks and administrative organizational needs as assigned by company directors on an as needed basis.
Conducts self in positive, respectful and collaborative manner demonstrating proactive actions and decision making that foster supportive work relationships and a healthy and safe environment. Communicates effectively verbally and in writing with internal and external customers maintaining professional conduct and confidentiality.
Maintains abreast of current trends in services and other related areas; attends conferences, workshops and other training as needed and shares this new information with department.
Complies with and positively reinforces with others the expectations outlined in: the MyPath Company Handbook; MyPath Beliefs and Behaviors, policies and procedures including emergency/disaster procedures, fire/tornado safety and maintains confidentiality.
KNOWLEDGE, SKILLS, AND ABILITIES:
Associate Degree in an Administrative Assistant field or High school diploma plus at least two years of experience in an administrative assistant position required.
Computer skills including intermediate skills in Word, Excel and PowerPoint required.
A working knowledge and familiarity with clinical, psychological and/or treatment terminology preferred.
Excellent written and verbal communication skills required.
Schedule:
- Schedule: Monday- Friday
- This is a fully in-person position that is based out Genesee Lake School.
- Hours: 8am - 4:30pm (some flexibility with times)

Pay starting at $22.75/hr
