Position Summary
We are seeking a reliable, detail-oriented, and empathetic Medical Administrative Assistant to be the welcoming first point of contact for our patients. This individual will be the organizational backbone of our front office, ensuring smooth daily operations so that our clinical team can focus on patient care. The ideal candidate will take ownership of their work quality and demonstrate a strong commitment to patient satisfaction. Key Responsibilities
- Patient Scheduling & Flow: Manage the appointment calendar, schedule new and follow-up patient appointments (both in-person and telehealth), and efficiently handle cancellations or no-shows.
- Front Desk Operations: Greet patients and visitors warmly, assist with intake forms, and ensure a professional and comfortable waiting area.
- Referral Management: Process incoming patient referrals from external providers, obtain necessary insurance authorizations, and track their status to ensure seamless continuity of care.
- Insurance & Billing Coordination: Verify patient insurance eligibility and benefits, explain financial responsibilities to patients, and collect co-pays and outstanding balances at the time of service.
- Medical Records Management: Accurately collect and update patient demographic and insurance information in our Electronic Medical Records (EMR) system, strictly adhering to HIPAA regulations to maintain confidentiality.
- Communication: Answer multi-line phones and manage email inquiries, directing calls and messages to the appropriate clinical or administrative staff in a timely manner.
- Administrative Support: Perform general clerical duties such as filing, scanning, and faxing patient documents, and assist with other office tasks as assigned.
Required Qualifications & Skills
- Experience: A minimum of 1-2 years of experience in a medical office, clinic, or healthcare setting is highly preferred.
- Reliability: Proven track record of excellent attendance, punctuality, and a strong work ethic. Reliability is essential for this role.
- Healthcare Knowledge: Basic understanding of US healthcare and insurance processes (Medicare, commercial insurance, co-pays, deductibles, and referrals).
- Technical Proficiency: Experience using Electronic Medical Records (EMR) systems and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Interpersonal Skills: Exceptional communication, customer service, and problem-solving skills, with an empathetic and calm demeanor when interacting with patients who may be experiencing mental health challenges.
- Organizational Skills: Strong attention to detail and the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Confidentiality: A high degree of discretion and the ability to maintain strict patient confidentiality is paramount.
Pay: $21.06 - $25.37 per hour
Expected hours: 20.0 – 32.0 per week
