The Intake Manager directly supports the Intake Director and Department of the facility. The Manager serves as the primary point of contact and works collaboratively with referral sources, community members, patients, and interdepartmentally to ensure the facility’s mission of providing exemplary patient care and customer service is upheld. The Manager aides in the coordination and oversight of reviewing new and pending admissions to ensure that clinical, financial, insurance, and administrative information has been accurately obtained and acted upon. The Intake Manager serves as a resource for all Intake staff and maintains oversight over department documentation to ensure facility and regulatory compliance. The Manger provides support to the Intake Director with hiring, orientation, staffing, staff education, scheduling, and other activities as assigned. The Manger provides direct patient care under the Intake Clinician job description when necessary and/or assigned.

Education / Experience:
Subject to many interruptions. Occasional pressure due to multiple calls and inquiries. This position can be high paced and stressful; must be able to cope mentally and physically to atmosphere. Work requires spending approximately 90% or more of the time inside a building that offers protection from weather conditions but not necessarily from temperature changes.

Essential Functions:
Department Leadership
- Provide administrative leadership to the department as assigned.
- Serve as a liaison between employees and Intake Director.
- Monitor employee productivity, provide feedback/coaching, and document/address issues in a timely, objective, and constructive manner.
- Act as an educational resource to staff, assessing training needs and providing ongoing mentoring and staff training as needs identified and/or assigned.
- Participate in management meetings and complete daily reporting in absence of the Intake Director
- Primary preceptor for new hires and participates in hospital orientation as needed.
- Serves as a liaison between marketing and Intake to improve, maintain, and develop referral source relationships.
- Maintain and organize the daily workflow of the department to ensure employees’ understanding of daily duties and delegated tasks.
- Demonstrate flexibility by working as an Intake Clinician as needed, maintaining an understanding of both Intake Clinician and Intake Specialist scope of practice, admission processes/procedures, and regulatory standards for Intake.
- Participate in the recruitment, interviewing, and hiring of new staff.
- Assist with orientation of new staff to facility policies, procedures, and standards, ensuring all required orientation paperwork is completed.
- Facilitate development of effective and collaborative teams through role modeling and established performance and communication expectations.
- Support facility leadership through verbal and non-verbal communication.
- Maintain, organize, and adjust staffing to needs of the department by maintaining an accurate department schedule, record of call-offs, and notation of any chances in staffing.
- Communicate verbally or in writing with the Intake Director to ensure all pertinent issues are “handed-off” for follow-up and resolution.
- Serves as Administrator On-Call based upon facility requirements.
- Processes request for admission from outside referral agencies and from within the community.
- Maintains ability to review clinical packet for criteria in alignment with the capability and capacity of the facility.
- Maintains understanding of Admission and Exclusionary Criteria.
- Maintains understanding of EMTALA.
- Ensures that prior authorizations are obtained for admissions.
- Organizes information of patient’s current needs and provides a succinct clinical presentation to admitting physician.
- Completes Level of Care Assessments/Evaluations.
- Completes Admission Consents with patient upon arrival to the facility.
- Handles sensitive information appropriately and acts in a fair and honest manner consistent with the Company’s Code of Conduct including reporting and violations.
- Builds and maintains communication processes to ensure efficient and effective transmission of information.
- Works collaboratively with all departments to create an environment that supports the facility’s mission.
- Ensures current state and federal regulatory and standards related to communication of incidents are met.
- Demonstrates timely communication of information to appropriate leadership channels commensurate with situation.
- Interacts with patient, family members, external entities and internal staff professionally and respectfully.
- Adheres to systems and processes that promotes a high level of commitment to anticipating, understanding and meeting the needs of patients, family, and other employees.
- Demonstrates an understanding of the community’s continuum of behavioral health resources.
- Acts to preserve patient and family dignity and safety.

Education / Experience:
- Masters Degree in Behavioral health or RN preferred. Minimum Bachelors Degree in Behavioral Health with 2 years experience.
- Preferred 2 years clinical experience in behavioral healthcare, experience with crisis management, intake or inpatient psychiatric treatment preferred.
- Strong verbal and written communication skills.
- Must be able to explain complicated concepts in a clear and concise manner.
- Demonstrates effective interpersonal skills and communication internally with patients, families, and referral sources.
- Conducts business and communication in a professional, empathetic and effective manner demonstrating Oceans core convictions with all internal and external customers.
- Strong organization skills to ensure that information is coordinated with medical records and other hospital departments.
- Knowledge of Microsoft Office products, as well as coding and classification software and EHR systems.

- Must successfully complete BLS certification and an Oceans approved behavioral health de-escalation program.
