Position Overview - Sales Administrator
At Oceanbotics, we are seeking a detail-oriented Sales Administrator to support our expanding sales operations! This role is critical in maintaining smooth sales processes as we pursue aggressive growth targets and expand our international dealer network. The ideal candidate will provide comprehensive administrative support to our sales team while ensuring exceptional customer service to government agencies, military organizations, offshore companies, and search & rescue teams worldwide.
Key Responsibilities
Sales Support & Order Management
Process and track sales orders from initial inquiry through delivery, ensuring accuracy and timely fulfillment
Coordinate with manufacturing and logistics teams to maintain accurate delivery schedules
Manage quote preparation and proposal documentation
Maintain and update customer records in the CRM system with all interactions and transaction details
Customer Communication
Serve as the primary administrative contact for customers and international dealers
Respond to customer inquiries regarding product specifications, pricing, and availability
Assist in coordinating product demonstrations
Handle routine correspondence and follow-up communications with prospects and clients promptly
Prepare detailed sales reports and analytics to track progress towards growth targets
Maintain dealer agreements and certification documentation
Assist with trade show logistics and marketing material distribution
Manage sales team calendars and assist with travel arrangements
International Operations Support
Support & facilitate international dealer onboarding and training coordination
Assist with export documentation and compliance requirements
Track international shipments and coordinate with freight forwarders
Required Qualifications
3 years of experience in sales administration, inside sales, or customer service (preferably in technical or industrial equipment)
Minimum of Associates Degree or Equivalent (preferably in a related field)
Strong proficiency in CRM systems and Microsoft Office Suite
Exceptional attention to detail and organizational skills
Excellent written and verbal communication abilities
Ability to manage multiple priorities in a fast-paced environment
Desired Skills
Experience with international sales documentation is preferred
Knowledge or experience of marine or industrial equipment markets is helpful
Experience with government contracting and procurement processes is helpful
Enthusiasm for the oceans! 🌊
Energy, with a sense of urgency as appropriate
Bilingual capabilities (particularly Spanish, French, or Mandarin) are a plus
Data Entry – CRM (Salesforce a plus), QuickBooks, customer portals, etc.
