Ocean Hawks Rentals is seeking a full-time Event Production Coordinator to join our growing team. This is a hands-on position that combines office administration, warehouse organization, client communication, and onsite event production. You’ll work directly alongside the owners and play a key role in ensuring every event is executed to the highest standard.

This position is responsible for managing events from the moment they’re booked until the final installation is complete. If you’re highly organized, proactive, enjoy working with people, and aren’t afraid to jump in wherever needed, we’d love to meet you.

Schedule:

Full-time (40 hours per week)

Thursday through Monday

Tuesdays & Wednesdays off

Weekend availability is required, as most events take place Fridays through Sundays.

Must be available to work evenings and late nights for certain event installations and breakdowns.

Some holidays are required during peak event seasons.

Office Responsibilities:

Respond to client emails and phone calls in a professional and timely manner.

Prepare contracts, proposals, invoices, and rental paperwork.

Create event timelines and production schedules.

Coordinate delivery schedules, pickups, and installation crews.

Review venue layouts and floor plans.

Maintain company calendars and event schedules.

Communicate with venues, planners, vendors, and clients.

Assist ownership with daily administrative and operational tasks.

Maintain accurate inventory records in our inventory management system, including tracking new inventory, damages, repairs, and inventory movement.

Onsite Event Responsibilities:

Attend event installations throughout Central Florida.

Serve as Ocean Hawks Rentals’ primary onsite point of contact for clients, planners, and venues.

Ensure every installation matches the approved design and company quality standards.

Perform final quality checks before clients arrive.

Communicate with installation crews and assist in setup.

Problem-solve quickly and professionally during installations.

Assist with event setup and breakdown when needed.

Capture photos and videos of completed installations for company marketing.

Help maintain the exceptional client experience Ocean Hawks Rentals is known for.

Qualifications:

Highly organized with exceptional attention to detail.

Excellent written and verbal communication skills.

Professional, positive, and dependable.

Strong customer service skills.

Ability to multitask in a fast-paced environment.

Comfortable making decisions and solving problems independently.

Strong computer skills, including Microsoft Office and Google Workspace.

Experience in events, hospitality, rentals, production, or customer service is preferred but not required.

Valid driver’s license and reliable transportation.

Physical Requirements

Must be able to lift and move rental items weighing up to 50 pounds.

Ability to stand, walk, bend, climb ladders, and work on your feet for extended periods.

Comfortable working outdoors in Florida heat, humidity, and varying weather conditions.

Able to work long days, evenings, and late-night installations when required.
