Position Title: Group Coordinator
Department: Sales & Events / Reservations
Reports To: Director of Sales
Position Summary
The Group Coordinator supports the Sales and Events team in the planning, coordination, and execution of group bookings and events. This role serves as a key liaison between clients, internal departments, and hotel operations to ensure a seamless and elevated guest experience that reflects the luxury standards of Ocean Edge Resort & Golf.
The ideal candidate is highly organized, detail-oriented, service-driven, and passionate about luxury hospitality.
Key Responsibilities
- Coordinate all administrative aspects of group bookings, meetings, and special events
- Prepare rooming lists, and group resumes
- Maintain accurate group records within hotel systems and ensure all information is updated promptly
- Serve as a point of contact for clients, travel advisors, meeting planners, and vendors
- Liaise with departments including Front Office, Housekeeping, Food & Beverage, and Catering to ensure flawless execution of group programs
- Monitor room blocks, pickup reports, and billing instructions
- Assist the Sales and Events team with site inspections and client visits
- Coordinate VIP amenities, special requests, transportation, and personalized guest experiences
- Ensure all group arrangements align with brand standards and client expectations
- Support post-event follow-up, invoicing, and client feedback processes
- Maintain confidentiality and professionalism in all guest and client interactions
Qualifications & Skills
- Previous experience in luxury hospitality, group sales, catering, reservations, or event coordination preferred
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- High attention to detail and problem-solving capabilities
- Proficiency in Microsoft Office and hotel management systems such as Opera, Delphi, or similar platforms
- Ability to work in a fast-paced environment while maintaining exceptional service standards
- Professional presentation and demeanor consistent with a luxury brand environment
- Flexible schedule including evenings, weekends, and holidays as business demands require

Typical Duties May Include
- Managing group rooming lists and reservation changes
- Coordinating welcome amenities and VIP arrivals
- Preparing daily event and arrivals reports
- Assisting with wedding, corporate, incentive, and leisure group coordination
- Supporting revenue opportunities through upselling and personalized service
- Other duties as assigned
Pay: $25.00 per hour
