  • Manages their assigned program(s) in accordance with the OTC’s Code of Ethics and Mission Statement by promoting ethical behavior, establishing professional relationships and providing guidance in decision-making situations.
  • Follows established OTC policies and procedures, adheres to the Employee Handbook and maintains compliance with Division of Developmental Disabilities (DDD) regulations, Health Insurance Portability & Accountability Act (HIPAA) regulations and applicable state/local/federal regulations at all times.
  • Has a defined schedule, Sunday through Thursday OR Tuesday through Saturday, the start and end times vary to provide a supervisory presence for every shift. Although the Residential Assistant Supervisor has a defined 40-hour work schedule, the Assistant Supervisor is required to be flexible and adjust their schedule according to program needs. The Group Home Manager may approve flexing the scheduled work hours on the Assistant Supervisor’s administrative day to adjust for extra hours worked. Will need to work evenings, weekends and holidays to ensure appropriate staffing ratios are maintained in their assigned programs.
  • Scheduling: The Residential Assistant Supervisor assists the Group Home Manager in ensuring proper staffing levels and work distribution within assigned program site in accordance with Annex A / program descriptions and the assessed support needs of the Consumers. If a scheduled Direct Support Staff fails to report to work, the Residential Assistant Supervisor will be required to stay on shift until relief staff arrive.
  • As needed, the Residential Assistant Supervisor may be required to provide on-call and program support to effectively manage a 24 hour/7 day a week program for Residential Consumers.
  • On occasion, will manage receiving and filling callouts, .
  • If unable to fill a shift, is required to work the vacant shift.
  • The Residential Assistant Supervisor must respond to calls and text messages from the program leadership during off hours. The Assistant Supervisor should respond to the Group Home Manager and Residential Coordinator within 20 minutes of initial contact.
  • Must attend regular staff meetings and program management meetings to promote a constant flow of information, open discussions, knowledge sharing and to keep staff well-informed.
  • The Residential Assistant Supervisor will conduct monthly House Meetings to promote a constant flow of self-advocacy and communication between the residents and group home staff. The Assistant Supervisor should encourage participation and input from all residents and their staff.
  • Provides supervision and oversight of direct reports:
  • Manages the job performance of direct reports while supervising a shift; provides training, coaching and feedback as necessary. The Residential Assistant Supervisor reports all issues and concerns with staff that are struggling to meet the job requirements. Assists in developing and takes action on performance improvement plans and determines and implements disciplinary action as needed.
  • The Residential Assistant Supervisor is responsible for ensuring that all assigned staff are trained and up-to-date on required training in accordance with state licensing regulations and accreditation standards.
  • All new staff must be trained on Emergency Evacuation Plans, Behavior Interventions Plans, Standard Behavior Interventions Guidelines, Specialized Diets, Assistive Devices, Mobility Device, prescribed health devices, fire drills, disaster drills.
  • Appropriately delegates work responsibilities fairly, ensuring that staff have the appropriate skills and tools to complete job assignments.
  • Provides supervision and guidance to Residential Direct Support Staff regarding the daily care, acquisition of goal skills, community participation, and supervision, support & safety of Consumers.
  • Actively participates in IDTs and team meetings comprised of Guardians, Managers, Supervisors, Support Coordinators and Consumers to provide and obtain information regarding the ISP, review baseline goals, identify individual strengths and weaknesses, evaluate progress of Consumer regarding attainment of goals, determine the need for modifications to existing goals, combine goal teaching or rehabilitation and development strategies for best possible outcome and discuss concerns to ensure overall ISP effectiveness
  • Ensures that the ISP is implemented appropriately to support the Consumer’s life goals, increase individual skill development, decrease problem behavior and meet the Consumer’s specific rehabilitation needs.
  • Ensures the accurate and timely completion of all documentation as required by state regulations and as determined by OTC Policies; e.g., daily logs, monthly progress reports, daily goal reports, assessments, daily financial transactions, Medication Administration Records, behavioral data sheets, GERs/UIRs, monthly summaries, inspection checklists, billing attendance, Therap documentation, etc., as applicable within specific program site.
  • Ensures that facilities are maintained in accordance with Division of Developmental Disabilities (DDD) regulations and OTC standards to ensure proper care and safety for the Consumers.
  • Monitors the use of vehicles assigned to the program site. Ensures that vehicle logs are being filled out appropriately and that the ongoing, routine maintenance and cleanliness of the assigned vehicles is taking place.
  • Coordinates all aspects of scheduling and transportation for Consumers for community-based activities, personal needs and medical appointments.
  • Provides direct care to Consumers. Maintains levels of support and supervision as defined in behavior plans and ISPs while in the group home and on community outings.
  • Ensures that all medical needs of the Consumers are met, including ensuring that all medical appointments are completed, medications are stored and administered appropriately and the required documentation is maintained accurately.
  • Ensures implementation of approved menu plans and special diets. Is responsible for ensuring that staff adhere to the prescribed restrictions. Is responsible for recording restaurant meals as substitutions on the weekly menu.
  • Ensures budgetary compliance by appropriately spending program funds on the intended purposes and staying within the budgeted limits. This applies to activity funds, grocery budgets, petty cash, supplies funds, fuel and travel expenses, etc. Is also responsible for documenting the program funds ledgers, recording all transactions.
  • Provides oversight and accurate documentation of entrusted funds for Consumer in specific program site.
  • Establishes effective communications with Consumer, parents, guardians and other family members, healthcare personnel, Support Coordinators, program management and coworkers across Programs and functions, etc.
  • Effectively resolves problems that involve people, things and processes that require general logic and common sense. This may include gathering relevant information, considering alternatives and drawing logical conclusions based on facts.
  • Participates in pre-admission screenings and meetings, to contribute to the evaluation of potential residents, discusses transfers and discharges, staffing needs and clinical needs, etc.
  • Working in conjunction with program administration and the Human Resources Department, actively participates in the applicant hiring process. Interviews and screens applicants to identify qualified candidates, appropriately explains job content and performance expectations to applicants and provides hiring recommendations.
  • Projects a positive self-image of professionalism, appearance, confidentiality, courtesy, conduct, honesty, fairness, personal integrity, and a respect for the fundamental rights, dignity, and privacy of staff and Consumers.
  • Performs other related duties as necessary dependent upon Program needs. Performs other tasks assigned by the Group Home Manager.
  • Remains current with required training certifications, meets state-regulated licensing and regulatory accreditations, and adheres to mandatory requirements.
  • Maintains effective verbal and written communications with colleagues, Consumers, and their family members and/or guardians when applicable.
  • Willingly and effectively cooperates with OTC, The Department of Human Services, The Division of Developmental Disabilities (DDD), and other licensing or state agency or local municipalities in any inspections and investigations, upon request.
  • Maintains a safe and respectful environment, free of abuse, neglect, or exploitation; does not allow weapons, threats, bullying or intimidation. Reports any violations to the appropriate individuals as soon as possible.
