Summary
We are looking for a detail-oriented and people-focused HR Coordinator to join our team on a part-time basis (20 hours per week) in Phoenix, AZ. In this role, you will own the full employee lifecycle — from pre-screening candidates through onboarding and offboarding — while also running payroll, administering benefits and insurance, and managing work authorization and visa processes. Key Responsibilities
Recruiting & Pre-Screening
- Conduct initial phone and video pre-screening calls to assess candidate qualifications and culture fit
- Review resumes and applications; coordinate with hiring managers to advance qualified candidates
- Schedule and coordinate interviews, assessments, and reference checks
- Maintain applicant tracking system (ATS) and keep candidate records current
- Draft and post job descriptions across job boards and internal channels
Onboarding
- Manage the full new hire onboarding process from offer acceptance through the first 90 days
- Prepare and process new hire paperwork including offer letters, I-9 verification, and tax forms
- Set up employee profiles in the HRIS and ensure accurate record-keeping from Day 1
- Facilitate new hire orientations and coordinate with IT, Payroll, and Facilities for readiness
- Serve as the primary point of contact for new hire questions during the onboarding period
Offboarding
- Manage the complete offboarding process for voluntary and involuntary separations
- Conduct or coordinate exit interviews and compile feedback to identify trends
- Process termination paperwork and ensure timely revocation of system access
- Coordinate final pay, PTO payouts, and COBRA notifications in compliance with applicable law
- Oversee the return of company equipment and property
Payroll Processing
- Process bi-weekly or semi-monthly payroll accurately and on schedule
- Collect and verify timesheets, PTO requests, and pay change inputs prior to each payroll run
- Maintain payroll records and ensure data accuracy in the HRIS and payroll system
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner
- Partner with Finance on payroll reconciliation, reporting, and year-end processes (W-2s, etc.)
- Ensure compliance with federal, state, and local payroll tax requirements
Benefits & Insurance Administration
- Administer employee health, dental, vision, life, and disability insurance plans
- Manage open enrollment processes and communicate plan details and changes to employees
- Serve as the primary point of contact for all benefits and insurance inquiries
- Process enrollments, qualifying life event changes, and terminations with carriers promptly
- Reconcile monthly benefits invoices and partner with Finance on billing discrepancies
- Ensure compliance with ACA reporting, COBRA, HIPAA, and other applicable requirements
Visa & Work Authorization
- Serve as the internal point of contact for work authorization and immigration-related HR matters
- Coordinate H-1B, TN, OPT/CPT, and other visa processes in partnership with external immigration counsel
- Track visa expiration dates, work authorization renewals, and I-9 re-verification deadlines
- Prepare and organize supporting documentation for visa petitions and USCIS filings
- Liaise with employees and legal counsel to ensure accurate and timely submission of immigration filings
- Maintain confidential immigration files and ensure compliance with federal recordkeeping requirements
- Advise employees and managers on visa timelines, restrictions, and next steps
General HR Administration
- Maintain accurate and up-to-date employee files and HR records
- Assist with HR policy updates and employee handbook maintenance
- Respond to employment verification requests and unemployment claims
- Support compliance with federal, state, and local employment laws
- Prepare HR reports and metrics as requested by leadership
Qualifications
Required
- 3 years of HR experience spanning onboarding, offboarding, payroll, and/or benefits administration
- Working knowledge of visa and work authorization processes (H-1B, TN, OPT/CPT, I-9)
- Proficiency with ADP
- Strong knowledge of employment law and HR compliance, including Arizona-specific requirements
- High level of discretion in handling sensitive, confidential, and immigration-related information
- Excellent organizational skills with strong attention to detail and ability to manage multiple priorities
- Strong written and verbal communication skills
Preferred
- Associate's or Bachelor's degree in Human Resources, Business Administration, or related field
- PHR, SHRM-CP, or other HR certification
- Experience working with external immigration counsel on visa sponsorship cases
- Familiarity with Arizona-specific payroll tax rules and labor regulations
- Experience in a company of 50 employees
