Job Overview
The Project Administrator will play a critical role in supporting project managers by handling administrative tasks, financial tracking, and coordination for large-scale projects in the paper industry. This hybrid position combines remote work with weekly in-person responsibilities, requiring travel within Central Alabama and beyond (approximately 1 day per week or 20% of time, with possible overnight stays). The ideal candidate is proficient in project management tools, highly organized, and possesses excellent communication skills to collaborate with diverse stakeholders, ensuring projects stay on track and deliver value to our clients.
Key Responsibilities
- Project Coordination: Schedule meetings, join virtual and in-person calls, take detailed meeting minutes, and track action items and tasks using MS Project and other tools to ensure timely project progress.
- Financial Management: Support the management of large project finances (e.g., budgets of $1–$100 million), including tracking expenditures, generating financial reports, and maintaining compliance with project budgets.
- Documentation and Reporting: Create and maintain project schedules, budgets, compliance logs, and procurement records using MS Office Suite (Word, Excel, PowerPoint) and MS Project.
- Task Tracking: Monitor and update action items, deliverables, and project milestones, communicating status updates to project managers and stakeholders.
- Stakeholder Communication: Collaborate with on-site project managers, senior PMs, and client teams, leveraging excellent communication skills to ensure clarity and alignment during remote and in-person interactions.
- Process Standardization: Implement and maintain unified templates for schedules, budgets, and documentation to enhance efficiency across multiple paper mills.
- Administrative Support: Handle procurement tasks, write purchase requisitions, and maintain accurate project records in cloud-based systems.
- Travel: Participate in weekly site visits or client meetings in Central Alabama and surrounding areas (approximately 1 day per week or 20% of time), with occasional overnight stays as needed to support project coordination.
Qualifications
Experience:
- 3 years of experience as a project administrator or similar role, preferably in industries like manufacturing, construction, or paper production.
- Proven experience managing finances for large projects ($1–$100 million), including budgeting, cost tracking, and financial reporting.
- Demonstrated expertise with MS Office Suite (Excel, Word, PowerPoint) for creating reports, schedules, and presentations.
- Hands-on experience with MS Project for scheduling, task tracking, and project planning.
Skills:
- Excellent communication skills, both written and verbal, with the ability to document meeting minutes clearly and engage with stakeholders professionally in virtual and in-person settings.
- Strong computer skills, including proficiency in virtual meeting platforms (e.g., Zoom, Microsoft Teams), cloud-based tools, and task management software.
- Exceptional organizational skills to manage action items, tasks, and deadlines across multiple projects.
- Detail-oriented with a proactive approach to problem-solving and process improvement.
Education: Bachelor’s degree in business administration, project management, or a related field preferred; equivalent experience considered.
Certifications: PMP, or similar project management certifications, are a plus but not required.
