We are seeking a dedicated and detail-oriented Patient Appointment Coordinator to join our healthcare team. Duties
- Schedule patient appointments accurately across multiple EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, and others, ensuring optimal clinic flow.
- Verify insurance coverage and benefits, including Medicare and health insurance policies, to facilitate seamless billing processes.
- Review and update medical records while maintaining strict adherence to HIPAA and clinical confidentiality policies.
- Assist patients with intake procedures, providing clear instructions and compassionate support during their visit process.
- Manage phone communication effectively using multi-line phone systems, demonstrating professional phone etiquette and prompt responsiveness.
- Support medical billing by understanding CPT coding, ICD-9/10 coding standards, and medical collection procedures to ensure accurate documentation review and revenue cycle management.
- Maintain organized filing systems for medical records and documentation, ensuring easy retrieval and compliance with health information management standards.
- Utilize office management software such as Microsoft Office suite to generate reports, update schedules, and handle administrative tasks efficiently.
- Collaborate with clinical staff to coordinate care plans and ensure all patient information is accurately documented within the EMR/EHR systems.
- Provide front desk support by greeting patients, managing appointment confirmations, and handling inquiries professionally.
Experience
- Prior experience in a medical office or healthcare setting is essential; clinic or dental office experience is highly desirable.
- Demonstrated proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Eaglesoft is required.
- Strong knowledge of health insurance verification processes and familiarity with Medicare policies is preferred.
- Experience in medical coding (ICD-10/ICD-9/CPT) along with medical billing knowledge will be advantageous.
- Bilingual skills are a plus to effectively serve diverse patient populations.
- Proven ability to handle clerical tasks such as filing, data entry (including 10-key typing), and managing multi-line phones efficiently.
- Excellent customer service skills combined with professional phone etiquette in a fast-paced environment are essential.
- Knowledge of clinical confidentiality policies and health information management standards must be demonstrated through previous roles.
- Office management experience involving appointment scheduling, insurance verification, and documentation review will strengthen candidacy.
