The Oakland County Bar Association is a dynamic membership organization serving nearly 2500 legal professionals in the Oakland County region. GENERAL DESCRIPTION
Working between 28 hours per week, the Administrative Assistant provides administrative and clerical support to the Executive Director, Court and Public Services Manager, and other directors as needed.
REPORTING RELATIONSHIP
Reports directly to: Executive Director
External Relationships: Has regular telephone and in-person contact with the general public, members, court personnel, attorneys and their staff.
SPECIFIC RESPONSIBILITIES
A. Court Services
- Assists processing and logging orders for case evaluation or mediation from the courts.
- Assists in communicating with the parties involved in case evaluation or mediation including sending notices, email reminders, and answering questions.
- Assists with logging summaries and distributing them to case evaluators and mediators.
- Assists with other data entry related to case evaluation and mediation as needed.
- Assists with preparing mediation rooms as scheduled.
- Helps manage Zoom on days when case evaluation occurs.
- Assists with OCBA’s Discovery Mediation service for the Sixth Judicial Circuit Court.
B. Public Service Programs
- Assists Court and Public Services Manager or Executive Director with organization and promotion of legal education and legal access programs for the public.
- Works with committees of volunteer attorneys who assist with the public service programs.
- Assists with the coordination of Pro Bono mentor match programs.
C. Serves as backup for OCBA’s Lawyer Referral Service
D. Performs other duties as assigned by Executive Director and Court and Public Services.
E. Attends and actively participates in OCBA trainings and meetings as required.
F. Completes all tasks and duties assigned by OCBA management staff.
G. Complies with all OCBA Personnel Policies and Procedures.
QUALIFICATIONS
- Education: Minimum of an associate degree preferred
- Completion of all personnel hiring requirements at the time of hire
- Access to reliable transportation to and from office site
- Ability to work remotely, if needed, including access to a web camera and secure, high-speed internet
- Valid driver’s license and safe driving record
- Team player and a self-starter who works well with minimal supervision, high integrity, good personal habits, regular work attendance, and courtesy.

- Physical ability to work within normal limits of an inside office position plus the ability to occasionally lift and carry 20 pounds.

- Excellent oral communication skills.

- Experience with telephone switchboard equipment
- Strong knowledge of Microsoft Word, Excel and Outlook as well as excellent data entry skills
- Basic knowledge of Zoom or other remote meeting applications
- Attention to detail and accuracy a MUST
- Ability to manage numerous tasks simultaneously
- Excellent organizational skills
