Oak Park and River Forest High School, or OPRF, is a comprehensive public high school located in Oak Park, IL, a suburb eight miles due west of downtown Chicago. We are a one-school district, with the majority of our students coming from two sender districts, River Forest Public Schools District 90 and Oak Park Elementary School District 97. We offer more than 200 courses, a variety of programs for students with special needs, 103 clubs and activities, and 34 competitive sports. We prepare our students well for post-secondary success, with an average ACT composite score of 24 and a 96% graduation rate.

Job Summary:
Provides responsible, accurate and confidential secretarial support and performs routine administrative functions for the PSS Team to ensure the efficient operation of the student services program.
Job Duties:
- Processes and delivers communications from the PSS Team to students, parents and teachers.
- Composes and edits routine correspondence as directed by the PSS Team.
- Answers routine questions and addresses routine needs of students and parents.
- Answers phone calls and takes messages; processes voicemail and e-mail as appropriate or as directed.
- Provides information to parents, students, faculty, staff and public as appropriate or as directed.
- Processes incoming and outgoing PSS Team mail including the preparation of student/parent mailings and the distribution of internal mail in the mailroom.
- Organizes and prioritizes personal work schedule to meet all deadlines in a timely fashion.
- Maintains files and performs necessary record-keeping associated with PSS Team needs.
- Monitors and coordinates supply needs with the Secretary to the Director of Student Services.
- Supervises student services aides and alerts appropriate parties of student conduct in waiting areas or College Career Center.
- Greets students, parents, teachers and college callers to the student services office complex and addresses their needs as appropriate.
- Manages the counselor calendars, scheduling meetings, appointments, conferences and events as appropriate.
- Effectively utilizes a computer for data management, word processing, production of reports, and similar computer usage as required.
- Participates in the college application process through the organization and submission of student college application materials and the submission of student transcripts and letters of recommendation to colleges.
- Contributes to the compilation of counselor reports including, but not limited to, Scholarship Bulletin, Counselor Handbook, College Counseling Curriculum, End-of-Year College Report, Scholarship information, Summer Program bulletins, College Counseling Curriculum, and the graduation program.
- Schedules appointments for students to meet with counselors to discuss the college application process, four-year plans, and course selection.
- Assists in the processing of enrollment packets for In-coming Freshmen.
- Maintains familiarity with the SchooLinks college counseling software and the Docufide transcript software and advises students and parents in the appropriate use of this software.
- Assists in the maintenance of an appropriate atmosphere in the student services waiting areas.
- Works closely with the Dean’s secretary in the dissemination of information related to the work of the PSS Team. Supports PSS social workers and Deans as needed.
- Processes Work Permits for the State of Illinois for current OPRF students on their counselor’s caseloads.
- Other duties as expressed by your supervisor or Administration.

Standard office conditions with a high degree of student/parent contact.
Qualifications:
The following accomplishments are expected: High School Diploma; Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, and OUtlook) and Google Suite applications; Ability to master and manage both SchooLinks and Docufide software; Acceptable command of English, grammar, spelling, punctuation, sentence structure, and paragraph structure; Minimum word-processing skills of 60 words per minute; Excellent time management skills; Good knowledge of OPRFHS organization, operation and history desired but not required; Ability to deal with students, parents, teachers, and other OPRFHS personnel in a friendly and cooperative fashion.
Education and Experience:
Advanced vocational education or experience, including a minimum of 60 wpm keyboarding, computer proficiency, and ability to adapt to the use of other software. Knowledge of Windows and Google software programs. Knowledge of the history and expectations of community stakeholders.
Equipment:
Computer, copying machines, fax machines, printers, calculator, recording equipment, projecting equipment, and advanced telephone.
