Duties
- Manage the CEO’s meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Coordinate internal and external meetings, including booking venues, preparing agendas, and distributing materials.
- Organize and maintain filing systems—both digital and physical—ensuring quick retrieval of important documents.
- Assist with event planning for company functions, board meetings, or special events from logistics to execution.
- Conduct office management duties such as ordering supplies, and managing office equipment.
- Facilitate project coordination by tracking deadlines, follow-ups, and deliverables across teams.
- Perform clerical tasks such as data entry, photocopying, filing, and proofreading correspondence to uphold high standards of accuracy.
- Manage personal assistant responsibilities for the CEO as needed, including personal appointments or errands coordination.
Qualifications
- Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Excellent written and verbal communication skills with professional phone etiquette.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
- DocuSign for document signing workflows.
- Demonstrated ability to handle confidential information discreetly and professionally.
- Exceptional typing speed along with transcription skills; attention to detail is essential for proofreading documents.
- Ability to coordinate multiple projects simultaneously while maintaining a positive attitude.
