Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO. This dynamic role involves managing projects, handling correspondence, and ensuring smooth daily operations within a fast-paced environment. The ideal candidate will demonstrate exceptional communication skills, attention to detail, and the ability to juggle multiple priorities with enthusiasm and professionalism. Duties

  • Manage the CEO’s meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
  • Coordinate internal and external meetings, including booking venues, preparing agendas, and distributing materials.
  • Organize and maintain filing systems—both digital and physical—ensuring quick retrieval of important documents.
  • Assist with event planning for company functions, board meetings, or special events from logistics to execution.
  • Conduct office management duties such as ordering supplies, and managing office equipment.
  • Facilitate project coordination by tracking deadlines, follow-ups, and deliverables across teams.
  • Perform clerical tasks such as data entry, photocopying, filing, and proofreading correspondence to uphold high standards of accuracy.
  • Manage personal assistant responsibilities for the CEO as needed, including personal appointments or errands coordination.

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Excellent written and verbal communication skills with professional phone etiquette.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
  • DocuSign for document signing workflows.
  • Demonstrated ability to handle confidential information discreetly and professionally.
  • Exceptional typing speed along with transcription skills; attention to detail is essential for proofreading documents.
  • Ability to coordinate multiple projects simultaneously while maintaining a positive attitude.
