Minimum Qualifications Required for Appointment:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:
One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and/or stores keeping.
52.7 Non-Competitive Promotion:
If there are no more than three qualified candidates in the promotion field for this position, the agency will request approval from the Department of Civil Service to fill this position via a noncompetitive promotion (NCP) examination, pursuant to Section 52.7 of the Civil Service Law. In order to be eligible for the NCP, candidates must be in the direct promotion field, have one year as Office Assistant 1 (Store/Mail) and must not have failed the last two holdings of the promotion examination for the title listed above.
OR Applicants can be appointed if they are a current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 07 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

- Initiate purchases of stock items for replenishment using credit card and purchase requisitions; complete required paperwork and record accounting in the Statewide Financial System (SFS) and in the AiM Computerized Maintenance Management System.
- Compile, review, and maintain data from contracts, purchase orders, requisitions, and other documents to assess supply needs.
- Verify inventory computations by comparing them to physical counts of stock and investigate discrepancies or adjust errors.
- Load, unload, and place in proper locations deliveries of supplies and materials.
- Issue or distribute materials, products, parts, and supplies and record data into AiM for all transactions.
- Clean and maintain supplies, tools, equipment, and storage areas to ensure compliance with safety regulations.
- Recommend disposal of excess, defective, or obsolete stock.
- Maintain a variety of storeroom records and preparation of weekly and monthly reports.
- Communicate with agency staff, users, and vendors to resolve discrepancies.
- May provide subordinates with specific instructions concerning the preparation of documents, processing of materials and maintenance of records.
- Perform other duties as assigned.
