Position Overview
We are seeking an Experienced Administrative Assistant to support our Director of Operations. This individual will play a key role in ensuring the smooth day-to-day operations of the practice by handling a variety of administrative, organizational, and technical tasks. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities while maintaining a high level of professionalism and patient service.
Key Responsibilities
- Provide comprehensive administrative support to the Director of Operations and assist with the daily operations of the practice.
- Perform a variety of administrative duties, including scheduling, correspondence, document preparation, and data entry.
- Support the onboarding process for new employees and providers, including maintaining personnel files and tracking PTO.
- Create and maintain confidential documents, reports, and systems in compliance with privacy and regulatory requirements.
- Perform basic IT troubleshooting on office equipment (computers, scanners, printers, etc.).
- Assist with front desk operations as needed, including answering phones, scheduling patient appointments, check-in/check-out, and data entry to ensure exceptional patient experiences.
- Manage office supply inventory and coordinate purchasing to support daily operational needs.
- Collaborate with internal departments and external partners to support practice initiatives and ensure efficient workflows.
Qualifications
- Required: Minimum of 2 years of administrative experience in a healthcare setting.
- Preferred: Experience in a private plastic surgery practice or specialty medical environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills with a professional demeanor.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize tasks, manage time effectively, and work efficiently in a fast-paced environment.
- Dependable, adaptable, and capable of maintaining confidentiality at all times.
- Team-oriented with a positive attitude and commitment to patient-centered service.
- Flexible availability to work until 6 PM on weekdays when needed; no weekends required.
Pay: From $20.00 per hour
