Role:
The role of the ISR Department Administrative Assistant is to provide comprehensive administrative support to the ISR team and leadership, ensuring smooth operations and efficient workflow within the department. This role is based in the St. George, Utah office and involves a variety of tasks, including administrative duties, shipping, incentive coordination, meeting organization, activity planning, and travel arrangements.
Responsibilities:
- Administrative Support: Manage and organize departmental files, documents, and records. Prepare reports, presentations, and correspondence. Handle incoming and outgoing mail, emails, and phone calls. Maintain office supplies and equipment.
- Shipping and Logistics: Prepare packages for shipping, including packaging, labeling, and scheduling pickups. Track shipments and ensure timely delivery. Coordinate with shipping carriers and resolve any shipping issues.
- Incentive Management: Assist in the planning, implementation, and tracking of ISR team incentives. Prepare and distribute incentive rewards. Maintain accurate records of incentive programs and payouts.
- Meeting Coordination: Schedule and coordinate departmental meetings, including booking meeting rooms, sending invitations, and preparing agendas and meeting materials. Take meeting minutes and distribute them to attendees.
- Activity Planning: Assist in planning and organizing team-building activities, events, and celebrations. Coordinate logistics, including venue selection, catering, and entertainment.
- Travel Arrangements: Coordinate travel arrangements for ISR team members, including booking flights, hotels, and transportation. Prepare travel itineraries and expense reports.
- Communication: Serve as a point of contact for internal and external inquiries. Communicate effectively with team members, leadership, and other departments. Maintain confidentiality of sensitive information.
- Other Duties: Perform other administrative tasks and duties as assigned by ISR leadership.
Requirements:
