What Would This Role Do?
As a Scheduling Coordinator, you will play a vital role in the day-to-day operations of our organization. You will be responsible for matching clients with Behavior Therapists based on scheduling availability, clinical fit, and travel range. This role requires quick problem-solving, strong communication, and excellent organizational skills.
Key Responsibilities:
- Coordinate schedules for therapists and clients across multiple service regions
- Identify and fill gaps in service, last-minute callouts, and coverage needs
- Communicate regularly with therapists, families, and supervisors to ensure schedule alignment
- Track and manage session attendance, cancellations, and make-ups
- Use scheduling platforms and tools to document and update staff/client calendars
- Schedule onboarding and field training sessions for new hires
- Support the monthly creation and distribution of client calendars
- Collaborate with the clinical team to support coverage, schedule changes, and therapist case assignments

Must Haves:
- Minimum 3 years of scheduling or staffing experience, preferably in ABA
- Associate’s degree or higher in a relevant field
- Proficiency in Google Workspace tools (Docs, Sheets, Calendar, Voice, etc.)
- Experience using NPA or similar ABA scheduling software add codemetro
- Ability to pass DOJ/FBI background checks and provide TB clearance
- Strong communication, time management, and organizational skills
Nice to Haves:
- Spanish-speaking
- Experience with scheduling software or CRMs
- Knowledge of ABA services, staff roles, and regional needs
Physical Requirements:
- Ability to sit, stand, bend, kneel, and lift up to 30 lbs
- Must be able to use phone, computer, and engage in office-based tasks for extended periods
