Responsibilities
Financial and bookkeeping support
- Maintain accurate financial records using QuickBooks
- Organize receipts, expenses and supporting documentation
- Prepare invoices and monitor accounts receivable
- Assist with bill payment and cash-flow tracking
- Produce monthly profit-and-loss, budget and financial reports
- Coordinate with the company’s payroll provider
- Organize financial information for the company’s CPA
- Assist with budgeting, financial forecasting and business planning
- Maintain strict confidentiality regarding company and financial information
Executive assistance
- Manage calendars, appointments, deadlines and follow-up tasks
- Organize electronic files and business records
- Assist with correspondence, reports and presentations
- Coordinate meetings, events and conference-related activities
- Help track projects across the company’s education, advocacy and conference programs
- Provide general administrative support to the founder
Required Qualifications
- Proven experience in bookkeeping, financial administration or small-business operations
- Proficiency with Apple/Mac computers and applications
- Strong working knowledge of QuickBooks
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Careful attention to detail and accuracy
- Ability to work independently and anticipate needs
- Trustworthiness and discretion when handling confidential information
- Ability to work in person in Monson one day each week
Preferred Qualifications
- Experience supporting a business owner or senior executive
- Experience with payroll coordination, budgeting or cash-flow reporting
- Familiarity with Microsoft Office, Google Workspace and cloud-based business systems
- Experience working with an S corporation or professional-services business
- Background in healthcare, education or conference coordination
- Accounting degree, bookkeeping certification or related training
A CPA license is welcome but is not required. The ideal candidate will have strong practical financial-management and executive-support experience and will work collaboratively with the company’s outside CPA.
