FUNCTIONAL AREA OBJECTIVE

General description of the Functional Area:

Nucleus Network, Centre for Clinical Studies conducts clinical studies for commercial sponsors with specialised focus

on early phase studies. This includes healthy volunteer and patient studies. Nucleus Network engages with various

stakeholders including CROs, Biopharmaceutical Sponsors, participants and auditing services. The primary objective of

the Receptionist position is to assist with administrative functions for the organisation.

POSITION OBJECTIVES

The Objectives for this Position are:

· To provide a professional, frontline receptionist function.

· Practice and promote organisational values of Teamwork, Excellence, Drive, Customer focus.

· To participate in the key responsibilities listed in this JDF.

POSITION REQUIREMENTS

The key responsibilities of this position are:

General Reception:

· Greet and direct visitors, clients, participants, and other external staff to appropriate personnel.

· Ensure all visitors are appropriately logged in the visitor's book and ID/passes are provided and/or have registered with QIMR security.

· Manage and coordinate participants at the front desk when they attend screening/outpatient appointments and are checking in to the clinical unit

· Answer main reception telephone, direct calls, take messages, and provide general information.

· Coordinate mail services as appropriate i.e. internal/external mail and organisation of couriers

Screening, Outpatients & Admissions:

· Ensure all screening appointment participants complete and review their Personal Details Form and confirm that the information supplied is correct

· Check valid participant identification and register new participants or manage existing participants to ensure correct UR labels are printed and filed in the Subject Form Source Documentation (SFSD) folder

· Provide specific and appropriate clinical study documentation to participants to read upon arrival for their screening appointment

· Liaise with screening staff and medical officers to ensure timely turnaround of scheduled appointments

· Update outpatient calendar with arrival time of participants & contact people who fail to present for their appointment

· Liaise with Study Coordinators to ensure that adequate documentation is prepared and available for use on daily basis

Organizational:

· Adherence to ICH/GCP.

· Maintain own KPIs

· Perform other reasonable duties as assigned by Clinical Operations Management.

KEY QUALIFICATION CRITERIA, COMPETENCIES AND EXPERIENCE

Mandatory qualifications, competencies and experience for this position are:

· Exceptional communication skills

· Understanding of ICH/GCP guidelines

· Good attention to detail

· Capacity to remain professional and calm during times of increased pressure.

· Effective prioritization skills.

Desired qualifications, competencies and experience for this position are:

· Previous medical reception, administration, or industry experience.

· This role is a full-time role.

· Applicants must have at least 1 year experience in a medical reception position.

· Team player with excellent time management.

· Excellent communication skills with high attention to detail.
