Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Handle calendar management and scheduling for multiple executives or departments, ensuring efficient time allocation
- Perform data entry tasks with precision using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, both digital and physical, to support quick retrieval of documents and records
- Provide excellent customer support by addressing inquiries via phone, email, or in person with appropriate phone etiquette
- Assist with bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial record keeping
- Support office management functions such as ordering supplies, coordinating maintenance, and overseeing general administrative procedures
- Proofread correspondence and documents for accuracy and clarity before dissemination
- Facilitate communication between departments by preparing reports, memos, and presentations as needed
- Perform clerical duties such as photocopying, scanning, and organizing files to maintain an efficient office environment
Requirements
- Minimum of three years of administrative experience in a professional setting; experience in medical or dental reception is a plus
- Proficiency in QuickBooks for bookkeeping and financial tasks
- Strong computer skills with advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Demonstrated experience with multi-line phone systems and front desk operations
- Bilingual abilities are highly desirable to support diverse client needs
- Exceptional customer service skills coupled with professional phone etiquette
- Technical proficiency in data entry, proofreading, filing systems, and general office management procedures
- Familiarity with office management practices including calendar management and scheduling software
- Personal assistant experience or medical/dental receptionist background is advantageous
