- Manage calendar of attorney and coordinate conference calls, depositions, mediations, etc.
- Open new matters in internal software.
- Follow up with clients to ensure all claim materials have been received.
- Ensure compliance with client procedures in general communications.
- Answer and direct phone calls.
- Review outgoing correspondence for grammar and consistency.
- Track deadlines and document completion, prompting staff as necessary.
- Assist attorney with preparing draft pleadings and discovery.
- File documents through various courts including Florida E-Filing Portal and United States District Courts.
- Manage mail receipt, scanning, and distribution.
- Draft cover letters and other correspondence as directed.
- Handle all outgoing mail needs of attorney.
- Document interoffice and external communication appropriately.
- Provide copies of pleadings and correspondence to clients.
- Assist billing department with processing firm invoices.
- Process third-party invoices according to firm guidelines.
- Operate basic office support functions such as scanning, printing, and faxing.
- Perform other duties as necessary.
- Proficiency in Microsoft Word, Excel, and Outlook; knowledge of ProLaw is a plus.
- Strong organization and communication skills.
- Meticulous attention to detail.
- Dependable with respect to confidentiality and policies.
