What are the responsibilities and job description for the Immigration Case Manager position at Novo Legal Group LLC?
Novo Legal Group is an immigrant rights law firm - no, a human rights firm. We take tough cases, apply an innovative and collaborative approach, and we win. We work hard to deliver the best possible results for our clients where other firms have given up or already failed. The work is difficult, but fulfilling, and we strive to provide a familial yet professional environment to hone our craft.
We call our particular brand of advocacy our “special sauce” – it is the combination of our team members, our originality in strategy, our flexibility in change, and our fearlessness in the face of “difficult” cases. We employ self-starters who are open to direction and feedback, and are eager to enter a field that is constantly changing and developing.
We are looking to add an enthusiastic and committed case manager to our litigation department, focusing primarily in removal defense. A successful candidate is motivated to work with marginalized populations who have fled to the US to escape violence and persecution, and to pursue safety and opportunity.
Our new Case Manager will be a core member of our litigation team—working directly with clients in our Seattle office to develop evidence, prepare declarations, gather records, and ensure that filings submitted to EOIR are accurate, complete, and strategically sound. This position works in close collaboration with our trial attorneys and other litigation staff, coordinating hearings, scheduling prep sessions, and making sure every case is fully ready long before the hearing date.
The ideal candidate will have at least 2 years of experience in immigration removal defense or asylum preparation, with strong communication skills, meticulous attention to detail, and a demonstrated ability to work compassionately with vulnerable clients.
Duties and Responsibilities:
Trial Preparation & Case Strategy
- Begin ICH preparation approximately six months prior to hearing.
- Conduct comprehensive review of the client's entire digital file, including EOIR filings, investigatory records, and prior evidence.
- Obtain, review, and interpret eROP downloads, FOIA responses, and OBIM results.
- Identify the client's claim summary and verify case strategy directly with the attorney.
- Create and maintain a detailed evidence list tailored to the relief sought.
- Coordinate with other team members to outline evidence needs and deadlines.
- Review all client-provided evidence, translations, and supporting documents for completeness, accuracy, and relevance.
- Review, file, and serve court filings.
Client Communication & Evidence Development
- Serve as the primary client point of contact during the ICH preparation window.
- Make initial outreach to explain the hearing process, timelines, and required evidence.
- Review draft declarations and guide client revisions consistent with strategy.
- Coach clients on obtaining letters, medical or psychological records, police reports, employment documentation, photographs, and any other supporting evidence.
- De-escalate client concerns and escalate issues to attorneys when necessary.
- Assist with post-hearing processes when relief is granted, such as I-94 coordination.
Case Monitoring & Procedural Support
- Track and respond to ICE check-ins, notify attorneys, and update internal systems.
- Draft and/or review motions (e.g., to withdraw, change venue, or change name).
- Review packets or forms for collateral relief when directed.
- Prepare and file investigative filings, such as FOIA Requests and FBI Background Reports.
- Coordinate and schedule attorney-client prep meetings for upcoming hearings.
- Provide general litigation support to attorneys in the Seattle office.
In-Office Responsibilities
- Assist with virtual hearings (in-office conference room support).
- Manage outgoing filings and mailings.
- Maintain hard-copy files and receive client document drop-offs.
- Run FBI fingerprints for Washington-based clients.
- Sit in on attorney-client meetings to take notes and coordinate follow-up tasks.
Desired Qualifications:
Even if you are a seasoned veteran, everyone has bad habits and blind spots in the law. You will learn through direct experience, training sessions, and mentorship. Other qualifications include:

- Spanish language fluency.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
