Position Overview

Novak Construction is seeking an experienced Project Administrator to join our team at our Chicago office. The ideal candidate will have 2 years of experience as a Project Administrator working for a commercial general contractor and be comfortable supporting multiple active projects in a fast-paced environment.

Key Responsibilities

• Provide day-to-day administrative support to Project Managers, Superintendents, and Project Executives.
• Manage and maintain project documentation, including contracts, subcontracts, purchase orders, change orders, and closeout files.
• Coordinate subcontractor onboarding, insurance compliance, and required project documentation.
• Track and process invoices and vendor compliance items.
• Maintain accurate, well-organized project records within construction management systems.
• Assist with meeting coordination, agendas, minutes, and distribution of project communications.
• Support general project coordination, reporting, and administrative needs as required.
• Serve as a point of contact for internal teams and external partners regarding project administrative matters.
  
  

Required Qualifications

• Minimum 2 years of experience as a Project Administrator with a commercial general contractor.
• Strong understanding of construction documentation, workflows, and industry terminology.
• Proficiency with Microsoft Office Suite.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple priorities and support several project teams simultaneously.
• Strong written and verbal communication skills.
• Ability to work onsite in our Chicago office, Monday–Friday, 8:00 AM–5:00 PM.
  
  

Preferred Qualifications

• Experience supporting multiple commercial construction projects simultaneously.
• Familiarity with Sage Project Management, Autodesk Construction Cloud, Bluebeam, and PDF workflows.
