Position Overview

We are seeking a reliable and organized Office Administrator to support daily operations and ensure everything runs smoothly behind the scenes.

This role focuses on handling incoming calls, assisting customers, scheduling, and keeping systems organized. You will be a key part of maintaining clear communication between customers, the office, and the field team.

Responsibilities

Customer Communication

  • Answer incoming phone calls and respond to inquiries
  • Communicate with customers via phone, text, and email
  • Provide basic information about services and next steps
  • Assist with general customer questions

Scheduling & Coordination

  • Schedule appointments and update calendars
  • Confirm appointments and communicate any changes
  • Coordinate with project manager and team on scheduling
  • Assist with rescheduling when needed

Administrative Support

  • Enter and update customer information in the system
  • Maintain organized and accurate records
  • Assist with document management and job files

Invoicing & Support

  • Send invoices and assist with payment tracking
  • Help follow up on outstanding balances when needed

General Office Duties

  • Support day-to-day office operations
  • Assist with coordination of deliveries and logistics when needed

Qualifications

  • Strong communication skills (phone, text, and email)
  • Organized and detail-oriented
  • Comfortable using computers and basic software systems
  • Ability to multitask and stay organized
  • Positive attitude and professional demeanor
  • Administrative or customer service experience preferred

Pay: $22.00 - $25.00 per hour
