Job Description
The treatment coordinator is the first point of contact for the orthodontic division of the practice. The job of the treatment coordinator is to ensure that the doctor’s treatment recommendations are thoroughly explained during the consultation. The treatment coordinator acquires the initial orthodontic records of the patient. The treatment coordinator also manages all consultation follow up calls and the orthodontic recall program.
Responsibilities
- Send out the welcome email to all consultation patients 48 hours prior to the appointment.
- Prior to consultation verify that the patient’s insurance information has been checked and recorded.
- Warmly welcome all consultation patients to the practice.
- Take patient’s initial records and upload to Ortho 2 Edge (intraoral and extraoral photos, panoramic x-ray as needed). Take iTero scan and review the Invisalign simulation outcome.
- Thoroughly explain the doctor’s recommended treatment plan and answer all questions so that patients and parents leave the consultation appointment feeling comfortable and confident in the practice and the treatment recommendations. Schedule the following series of appointments as needed.
- In a timely manner document treatment notes of the consultation appointment in Ortho 2 Edge software. Scan all necessary documents related to the new patient visit.
- Follow up all consultation appointments via email to the patient/parent. Answer any additional questions that patients or parents may have.
- Complete the form letter sent to the patient’s dentist following all consultation and recall appointments.
- Manage patient observation program. Encourage all observation patients to schedule recall/observation appointment at time of consultation.
- Follow up with all patients placed on observation and ensure that patients have recall/observation appointment scheduled at the appropriate time.
- Serve as administrative assistant on orthodontic non-patient treatment days. On these days be available to help manage the orthodontic schedule and answer orthodontic related telephone calls when necessary.
- Help to manage orthodontic marketing, both internal and external.
- Any other duties or responsibilities as assigned by the doctors.
Qualifications
- High school diploma or equivalent required.
- A minimum of two years of front office experience preferably in a dental setting.
- Proficiency with Microsoft Office Suite.
- Knowledge of Ortho 2 Edge software, preferred
- Dental x-ray certification, preferred
