Production Specialist

Production Specialist Full-Time | Hybrid – 4 Days In-Office, 1 Day Remote (Friday)

About the Role We are looking for a detail-oriented and proactive Production Specialist to join our Order Management team. In this role, you will serve as the primary point of contact for customers and vendors, owning the communication, risk management, and exception handling that keep orders moving smoothly from placement through to fulfillment. You will work closely with Production Support staff, the Post-Production Coordinator, and cross-functional partners to ensure that every order is managed with accuracy, accountability, and a customer-first mindset.

What You Will Do

Customer Communication

• Act as the primary point of contact for customers on order status, availability, and delivery timelines
• Proactively communicate delays or changes before they escalate, providing clear and realistic revised timelines
• Partner with sales and customer service to ensure alignment on customer commitments and expectations

Vendor & Supplier Coordination

• Manage day-to-day communication with vendors and suppliers on order progress and production timelines
• Follow up on outstanding confirmations, approvals, and deliverables to keep orders on track
• Escalate vendor performance issues or capacity concerns with supporting context and a recommended course of action

Risk & Exception Management

• Identify order-level risks early and assess their potential impact on customer commitments and inventory availability
• Make informed decisions on how to handle exceptions, delays, or discrepancies, escalating when the situation warrants it
• Maintain a clear record of exceptions and resolutions to support continuous improvement over time
• Collaborate with the Post-Production Coordinator to factor in-transit risks into order-level decisions

Team Collaboration

• Direct Production Support staff on data entry, reporting, and document management tasks, providing clear priorities and follow-through
• Ensure Production Support has the context needed to maintain accurate records that reflect current order and risk status
• Contribute to team process improvements by surfacing recurring issues and recommending solutions

What We Are Looking For

• 2 years of experience in order management, production coordination, customer service, or a related field
• Strong communication skills — written and verbal — with a track record of managing customer and vendor relationships professionally
• Comfortable working in an ERP system and maintaining accurate data across multiple workflows
• Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
• A proactive, solutions-oriented mindset — you flag problems early and come with a plan
• Ability to work collaboratively across teams while also taking ownership of your individual responsibilities
