Brief Description

PRIMARY FUNCTION:

The responsibility of the Service Supervisor is to coordinate and schedule activities of partners engaged in member service functions, ensure that member service work is performed in accordance with the established policies and procedures of Notre Dame Federal Credit Union. These may include, but are not limited to: accurately accounting for funds received and disbursed, correctly recording member transactions in the Credit Union's data processing system, and providing information to members with respect to their financial and other transactions at the Credit Union. Ensures that Member Service Associates are proactively engaging in conversations with members with and are referring Credit Union products and services. In addition, this position will ensure proper training, coaching, and monitoring of the quality and professionalism of the Member Service Associate staff. This position must effectively carry out the essential duties in a manner that consistently demonstrates the core values of the organization in a positive manner. This position assists the Branch Manager and Assistant Branch Manager with the daily operations of the office.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Actively works with the Branch Manager to ensure that the Credit Union organizational goals are met.
  • Ensure that Member Service Associates meet the Credit Union’s Member Service Expectations.
  • Develops schedules and ensures a complement of Member Service Associates is available at all times to provide an adequate level of Member Service Associate service to members.
  • Performs cashiering and other clerical duties and, when required, assists subordinates during peak work periods.
  • Will perform or oversee certain Member Service Associate operation functions such as accepting of deposits, withdrawals, transfers, cashing of checks, receiving of loan payments, process credit card cash advances and other loan advances, selling of traveler checks and verification and/or processing of all mail and night drop deposits and loan payments.
  • Searches records to assist subordinates in locating and reconciling posting errors on members’ accounts to verify accuracy of transactions.
  • Actively refers Credit Union products and services to members.
  • Ensures that Member Service Associates are pro-actively engaging our members and referring Credit Union products and services.
  • Coaches and develops Member Service Associates operational and sales skills and assists Member Service Associates in developing and implementing action plans.
  • Performs the Member Service Associate’s quarterly reviews, and works with Branch Manager to complete annual reviews.
  • Ensures all Member Service Associate transactions (cash, checks, traveler’s checks) and Automated Teller Machines (ATM) and/or Cash Dispensing Member Service Associate (CDM) machines are balanced, reconciled, encoded, and/or scanned for the Credit Union’s correspondent clearing bank.
  • Assigns duties and examines work, logs, and month end audit requirements for exactness, neatness, and conformance to policies and procedures.
  • Leads by example and resolves issues promptly according to the Credit Union’s core values, policies and procedures.
  • Will adjust errors and properly address member concerns.
  • Orders cash and ensures the Member Service Associate cash drawer levels are in conformance with specific policy limits. Supply cash as needed and removes cash to vault to reduce drawer limits when appropriate.
  • Will ensure that the total branch cash conforms with specific policy guidelines and within suggested calculated limits as estimated by Vaultworks software.
  • Is responsible to ensure that cash records are accurately maintained in the Vault Works system and variance from policy limits are duly reported to the Branch Manager.
  • Decision maker in the absence of the Branch Manager for all branch partners, including Member Service Representatives, may be necessary from time to time.
  • Assists in training Member Service Associates in practices and procedures, including holdup and robbery, regulatory compliance (i.e., Regulation CC, Bank Secrecy Act, etc.) CHAMP training and Credit Union philosophy.

SUPERVISORY RESPONSIBILITIES:

This individual directly supervises Branch Member Service Associates. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training partners; planning, assigning, and directing work; appraising performance; rewarding and disciplining partners; addressing complaints and resolving problems.

QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION AND/OR EXPERIENCE:

High school diploma or general education degree (GED); plus, one to three years related experience and/or training in a full service financial institution; or equivalent combination of education and experience.

LANGUAGE SKILLS:

A qualified individual must be able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and/or governmental regulations. This position will require the ability to write reports, business correspondence, and procedure manuals and strong communication skills are necessary to effectively present information and respond to questions from groups of managers, the Board of Directors and individual members.

MATHEMATICAL SKILLS:

This position will require the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY:

A qualified person must be able to solve practical problems and to deal with a variety of concrete variables in situations where only limited standardization exists. Also, the ability to interpret a variety of instructions furnished in written, oral, or diagram form.

OTHER SKILLS & ABILITIES:

This position will require the use of Credit Union's computer system for input/output transactions. Such use includes but is not limited to retrieval of information, printing our individual statements of account, inputting data, updating information, special access to certain fields and general maintenance of the processing system as applicable to the Member Service Associate function; input, output, account summary, member folio maintenance, balancing function and related functions.

Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus. The partner must occasionally lift and/or move up to 50 pounds.

MENTAL DEMANDS:

The partner is frequently required to use alertness, precision, resourcefulness, problem solving, numeric, persuasiveness, auditory perception, memory, creativity, concentration, judgment, writing ability, reading ability, reasoning, imagination, initiative, patience, visual perception, comparing and analyzing.

The work environment characteristics described here are representative of those a partner encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet to moderate.

REGULATORY COMPLIANCE & CONFIDENTIALITY:

Follows regulatory and policy compliance requirements, which would include those efforts in compliance with Bank Secrecy Act (BSA), Office of Foreign Asset Control (OFAC) and Anti-Money Laundering (AML) Regulations, and other compliance related Policies. Also, this position requires maintaining confidentiality with regard to non-public information about our members and Notre Dame Federal Credit Union.
