What are the responsibilities and job description for the Theatrical Operations Specialist position at Norwegian Cruise Lines?
BASIC PURPOSE: Assist and guide all Shipboard candidates through the initial documentation process required to work onboard Norwegian Cruise Line Holdings vessels. Responsible for gathering, reviewing and filing of all candidate documentation as well as liaison between the Creative Studios by NCLH's management team, crew and contractors.
POSITION RESPONSIBILITIES:
Schedule newly hired, returning and replacement crew members to Tampa rehearsals and ship assignments. Update MAPS with crew movement information. Record and update all personal crew information, including all passport, visa and medical information. Liaise daily with crew members during pre-employment process to ensure all items are received and approved accordingly.
Coordinate and confirm all logistical requirements for joining crew, which includes air transportation, ground transportation and hotel arrangements.
Collect and verify all documentation for joining crew and contractors has been received and is compliant with international and local requirements.
Work closely with the medical department to ensure that all potential crew members are in compliance with physical requirements for shipboard employment.
Responsible for ensuring compliance with company policies and protocol regarding documentation requirements, and support and maintain adequate manning levels.
Investigate all cases where crew members or contractors are not able to join a ship according to schedule and ensure appropriate action is taken. Escalate irregular situations to Theatrical Operations Supervisor.
Resolve requests regarding crew scheduling and movement, as well as issues related to employment contracts, extensions, changes, vacations, medical leave and specific ship assignments. Manage relationships between Production Show/Entertainment and Travel Administrators, Ship Deployment Administrators, License & Documents Administrators, and any other department relevant to crew member processing and operation.
Generate, deliver, compile all contractor agreements.
Collect and coordinate all employment documentations for contractors. This includes but is not limited to new vendor request, travel notice, visa assistance letter, HR contractor request.
Assist crew members and contractors in obtaining all required visas for employment; research visa requirements by country and nationality and provide supporting documentation for each visa.
Liaise with the Tampa Theatrical Operations Manager on contracts, travel, and supporting documentation.
Coordinate visa compliance procedures for international crew and contractors while in Tampa and onboard a vessel.
Obtain and submit all seaman's book documentation for crew members.
Oversee STCW scheduling and record documentation for crew members.
Maintain all Theatrical Operations standard operating procedures, grids, forms and reference materials.
Consistently research for new ideas to enhance existing and new theatrical operations processes. Reviews industry productions and initiatives to implement innovative and fresh ideas for the NCLH fleet.
Perform other job-related functions as assigned.
KNOWLEDGE AND EXPERIENCE:
EDUCATION: Bachelor's Degree in Human Resources, Business Administration, Hospitality Management, Liberal Arts or any equivalent combination of relevant and work-related skills and experience.
EXPERIENCE: Minimum two years of business/administrative experience in the Cruise or Hospitality industry. Two years of scheduling experience or working with high-capacity international crew movement experience preferred. Experience ensuring compliance with global visa requirements and travel documentation is preferred.
KNOWLEDGE & SKILLS: Proficiency with Microsoft Office Suite with special emphasis on Outlook, Word and Excel to develop correspondence, emails and create/modify reports. Knowledge of or ability to learn MAPS scheduling systems to navigate and update information. Detail oriented to enter data, manage schedules and make appropriate changes to scheduling plans. Excellent written and verbal communication skills required to effectively interact with joining crew, hiring partners, port agents, embassies and consulates, Human Resources onboard and shore side team members within the organization. Knowledge of basic accounting principles. Must have the ability to work autonomously with little supervision. Ability to shift priorities and multi-task based on scheduling/business demands. Excellent organizational skills to meet multiple deadlines and high-volume crew movement while working in a fast-paced environment. Knowledge of or ability to understand MLC Agreement, all contracts of employment, and terms and conditions of employment for all crew and contractors in area of responsibility. Knowledge of general global geography to facilitate travel logistics needs and mitigate travel costs. Knowledge of or ability to learn shipboard structure and terminology. Ability to handle and maintain confidential information.
