Role Overview:
We are seeking a highly organized, detail-oriented, and customer-focused Receptionist/Administrative Assistant to join our team. The successful candidate will serve as the first point of contact for clients, vendors, and visitors while providing exceptional administrative and operational support to advisors and staff. This role is critical to maintaining a professional office environment, supporting client service initiatives, managing office operations, and assisting with licensing, marketing, and CRM activities. Candidates should possess excellent communication skills, strong organizational abilities, and the capacity to manage multiple priorities in a fast-paced professional environment.
Key Responsibilities:
1. Reception & Office Administration
- Greet visitors, clients, and vendors and direct them appropriately.
- Answer, screen, and route incoming telephone calls while maintaining a professional client experience.
- Process incoming and outgoing mail, shipping, and courier services.
- Maintain reception, conference room, and common office areas.
- Manage office equipment including copier, fax, scanner, and postage systems.
- Maintain office supply inventory and coordinate vendor relationships (FedEx, UPS, shredding services, office suppliers, and other service providers).
- Track and process vendor invoices and forward documentation to office manager for firm.
- Complete special projects and provide administrative support as assigned.
2. Client Service & CRM Administration
- Enter, maintain, and update client information and correspondence within the Client Relationship Management (CRM) system.
- Schedule meetings and maintain Outlook calendars for the Rochester Advisors.
Manage client account updates and service requests, including address, phone, and email changes for the Rochester advisors.
- Assist advisors and staff with administrative duties that support client engagement and service.
- Follow established procedures for safeguarding client information and identity protection.
- Coordinate client correspondence including thank-you notes, birthday cards, sympathy cards, and other relationship-building communications.
Qualifications:
- Associate's or Bachelor's degree preferred.
- 1-3 years of experience in administrative support, office management, customer service, or a related role.
- Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite and business technology systems.
- Experience working with CRM systems is preferred.
- Demonstrated commitment to delivering outstanding customer service.
- Ability to pass a basic background screening required for the securities industry.
