Overview
They are responsible for greeting visitors, answering phones, managing appointments, and providing general administrative support. POSITION RESONSIBILITIES (but are not limited to):
Primary responsibility is to make client experience a memorable one but also to assist agency staff with miscellaneous tasks and duties.
- Front Desk coverage is between (8:00 a.m. to 5:00 p.m.) 45 Hours per week
- Greet visitors, announce presence to FR, and direct them accordingly
- Offer coffee, etc.
- Point out restrooms
- Answer, screen, and track telephone calls
- Open CSS – correct FR or CRC client
- Maintain agency phone directory and all agency directory
- Process incoming and outgoing mail - Postage
- Process and track FedEx packages – HO pouch and FR packages to clients
- Maintain the reception and breakroom areas
- Inside
- Outside
- Scan, copy, fax all items requested. Distribute incoming faxes
- Maintain fax and copy machine
- Maintain office supply inventory and order as needed
- Sam’s Club
- Office Max/Depot
- Walmart
- Amazon
- Aramark
- Liaison between Agency and all vendors
- Receive, distribute, and track policies
- Report PDA’s and requirements, set up ISA’s
- Complete and/or assist with special projects as assigned by Agency Staff
Position Qualifications
Required Qualifications:
· High school diploma or equivalent
· Excellent verbal and written communication skills
· Strong interpersonal and customer service skills
· Proficiency in standard office software (Microsoft Office Suite)
· Ability to multitask and prioritize tasks effectively
· Strong organizational and time management skills
· Professional appearance and demeanor
Preferred Qualifications:
· Previous receptionist or administrative experience
· Experience with scheduling software
· Knowledge of office equipment (copier, fax, phone systems)
· Ability to remain calm and composed in stressful situations
