OFFICE MANAGER
LOCATION: Northwestern Mutual St. George - 1060 South Main BLDG 2 Suite 401 St. George, UT 84770
REPORTS TO: Managing Director
HOURS: M-F, 8:00AM – 5:00PM with 1/hr lunch
SALARY: $19-$22/hr, DOE
GENERAL RESPONSIBILITIES
The responsibility of the Office Manager position is to serve as the primary contact for customers and policy owners and assist with work as needed. They will manage the Planning Department operations of the District Office to enhance productivity and profitability. The Office Manager anticipates the needs of the Planning Department, recommends necessary changes, and takes independent action within areas of authority. The Office Manager subscribes to the philosophy, principles, and practices of the Northwestern Mutual and the Network Office.
Specific responsibilities include but will not be limited to:
Administrative Procedures
- Review all home office communication and assure that the financial representatives and staff are informed on a timely basis of any procedural changes.
- Work in partnership with the Chief of Operations to establish administrative procedures to ensure that the business needs of the office and the requirements of the home office are met
- Scan, review, and email all bills to the Chief of Operations
- Inventory Tracking (Keys, Electronics, and Furniture)
- Keep an updated phone list and distribute as needed
- Monthly Fridge Clean-out
- Sign on Coordinator duties as needed
- Monthly internal charging (I.e., postage, rent, etc.)
Financial Representative Support/Workflow Management
- Provide, directly or indirectly, support to financial representatives in prompt issuance of policies and effective service to policyowners; this will be in the form of troubleshooting, recommendation of home office or agency resources, and application expediting.
- Train financial representatives on procedures and practices, on proper completion of applications, and on service requirements.
Receptionist Duties
- Greet visitors and direct them appropriately
- Answer, screen, and direct telephone calls
- Maintain telephone system and agency directory
- Process incoming and outgoing mail
- Maintain the reception area to create a warm, comfortable environment
- Make copies, send, and distribute faxes and maintain copy and fax machines
- Maintain inventory and order office supplies as needed
- Act as administrative support for financial representatives/staff as needed
- Complete and/or assist with projects as assigned by the Managing Director or Chief Operations Officer
QUALIFICATIONS
It is recommended that the Office Manager position have the following qualifications:
- Associate degree, preferably in business, or an equivalent combination of education and/or experience
- Comfort with technology; basic computer and Microsoft Office experience
- Multi-line phone experience preferred
- Customer service experience preferred
- Two to three years’ experience in supervisory/management position preferred
- Ability to handle detailed work with high degree of accuracy
- Excellent interpersonal skills
- Experience in problem-solving
- High level of organizational skills
- Superior written and oral communication skills
- Professional office skills
- Ability to take independent action to make sound decisions
- Ability to multi-task
- Ability to be flexible and open-minded
