Role: Practice Manager
The Practice Manager is the client operations lead for our advisory team—handling inbound calls, coordinating calendars and meetings, maintaining accurate records, and preparing advisors for every client conversation.
You’ll onboard clients for both insurance and investments, manage insurance workflows from application through underwriting and delivery, and support investment operations including account opening, transfers/rollovers, trading, and ongoing servicing.
You’ll liaise with our home office and partner teams, keep systems and compliance documentation current, and ensure a smooth, responsive client experience. Ideal candidates are organized, detail‑oriented communicators who thrive in a fast‑paced setting.
Job Duties:
Client Communication & Operations Support
- Professionally handle incoming phone calls from clients. Serves as main contact point for clients and proactively build relationships.
- Communicate with Home Office personnel as needed to service client needs
- Obtain and input client information into Client Relationship Management software
- On-board clients for both insurance and investment planning
- Prepare monthly client lists for Advisor Review (age change & birthday reports)
- Assist with calendar management, coordinating client meetings, and scheduling conference rooms
- Communicate with team members of joint work partners to address needs of mutual clients as needed
- Receive and Process Case Notes: make sure notes are present for all meetings and all compliance elements are appropriately documented.
- Ensure all meetings are appropriately logged.
- Meeting Case Preparation: Provide Advisors with the appropriate material needed for each meeting (financial plans (PX), sales illustrations, review meeting documents)
Insurance Sales Support
- Schedule paramedical exams for clients as needed
- Complete E-Signature applications and submitted to Home Office upon completion
- Actively manage underwriting process and regularly follow-up with clients on outstanding requirements
- Prepare policy delivery documents and report to Home Office
- ·Process service requests for existing clients: updated billing payment methods, assist clients with beneficiary updates, process life insurance policy loans, set up policy loan repayment, process insurance claims, and other insurance servicing requests as needed
Investment Sales Support
- Review client statements and input assets into planning software as needed (PX)
- Open new investment account, process investment proposals, and manage the client asset transfers/roll-over process
- Process Trade Orders
- Account Servicing: set-up/ adjust ACH and billing accounts, assist clients with beneficiary updates, and process other servicing requests as needed.
Qualifications
- Must obtain Life & Health Insurance Licensing withing the first 60 days of employment
- Proficient in Microsoft Office Applications
- Investment Licensing required withing 18 months of employment (SIE, Series 7 & Series 63)
- Process strong relationship building skills
- Demonstrated organizational skills, ability to multi-task and time management skills with ability to set priorities and meet deadlines.
- Strong attention to detail with the ability to work with a high degree of accuracy

Pay: $55,000.00 - $65,000.00 per year
