Position Overview: The Operations Associate plays a critical role in supporting the day-to-day administrative and operational functions of a fast-paced wealth management team. This individual ensures a seamless client experience by managing account paperwork, processing transactions, and maintaining accurate records. The ideal candidate is detail-oriented, organized, and thrives in a structured, process-driven environment.
Key Responsibilities:
- Prepare, review, and submit new account paperwork, ensuring accuracy and completeness
- Facilitate account openings across investment and insurance platforms
- Process client transactions including transfers, rollovers, distributions, and beneficiary updates
- Monitor and track the status of account applications and transfers, following up as needed
- Maintain organized and compliant client records and documentation
- Coordinate with custodians, internal departments, and external partners to resolve operational issues
- Ensure all activities comply with firm policies, regulatory requirements, and industry standards
- Assist advisors and team members with administrative and operational tasks
- Identify opportunities to improve processes and enhance efficiency
Qualifications:
- Bachelor’s degree preferred (Finance, Business, or related field a plus)
- 1–3 years of experience in financial services, operations, or administrative support preferred
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to handle multiple tasks and prioritize effectively in a deadline-driven environment
- Strong communication and problem-solving skills
- Proficiency in Microsoft Oice (Excel, Word, Outlook); CRM experience is a plus
Preferred Skills:
- Familiarity with account opening procedures and transfer processes (ACATs, rollovers, etc.)
- Understanding of basic investment and insurance products
