Position Overview
The Customer Service Representative serves as a key member of our veterinary team by providing outstanding client support, managing communications, maintaining accurate records, and helping ensure our hospital operates efficiently each day. Successful candidates are self-starters who can identify what needs to be done and take action without constant direction.
In addition to client service responsibilities, this position plays an important role in maintaining a clean, organized, and welcoming environment for clients, patients, and staff. Daily cleaning, stocking, and support tasks are essential components of this role and contribute directly to the quality of care we provide.
Responsibilities
- Provide exceptional customer service to clients in person, over the phone, and through electronic communication.
- Schedule appointments and assist clients with questions regarding services, policies, and patient care.
- Accurately enter and update client and patient information in the practice management system.
- Process payments and handle cash transactions accurately and responsibly.
- Conduct follow-up calls regarding appointments, patient care, and client concerns.
- Identify client needs and work proactively to provide solutions or direct concerns to the appropriate team member.
- Assist veterinarians, technicians, and other team members by supporting daily hospital operations.
- Maintain reception and common areas to ensure a professional and welcoming appearance.
- Perform routine cleaning, stocking, laundry, and organizational tasks throughout the facility.
- Monitor inventory levels and assist with restocking supplies as needed.
- Work collaboratively with team members to maintain a clean, efficient, and positive work environment.
- Contribute ideas and improvements that enhance client service and hospital operations.
Qualifications
- Previous customer service, receptionist, or client service experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Comfortable working around dogs of all sizes and cats.
- Ability to multitask and remain professional in a busy veterinary environment.
- Strong computer and data entry skills.
- Ability to work independently, prioritize responsibilities, and take initiative.
- Dependable, hardworking, and willing to assist wherever needed.
- Positive attitude and commitment to teamwork.
- Willingness to participate in cleaning, stocking, and other support duties that help keep the hospital operating smoothly.
