What are the responsibilities and job description for the ERSEA/Family Service Specialist position at Northwest Tennessee Head Start/EHS?

Purpose Statement: The ERSEA Specialist assures compliance with all Head Start Performance Standards and supports center efforts related to the enrollment, recruitment, selection, eligibility, and attendance of children.

Essential Duties and Responsibilities:

1. Responsible for data entry of ERSEA applications for enrollment and make needed corrections.

2. Responsible for data entry of Health documents, not limited to physicals, immunizations, disability.

3. Assist and support family advocate(s) to ensure that full enrollment is met and maintained throughout the year, ensuring children who leave the program are replaced within 30 days.

4. Assist in Accepting, Enrolling, Completing, and Transfer children in ChildPlus.net.; if terminating a child discuss with assigned content manager(s).

5. Assist the family advocate in recruitment children to ensure that full enrollment is achieved and maintained throughout the program year which includes 10% disabilities mandate for assigned area by providing support, setting up recruitment events and recruitment initiatives for assigned area(s).

6. Ensure that the Parenting Curriculum is implemented by providing training on the curriculum to families for assigned sites.

7. Compile, develop, and ensure current community resource lists are available for parents and center staff for assigned area

8. Develop, Recruitment initiatives for assigned family advocates and document recruitment efforts.

9. Assist in providing instruction and technical assistance for Family Advocates on the following but not limited to taking applications, recruitment, attendance, enrollment, performance standards, procedures, staff orientation and using ChildPlus.net.

10. Support, assist or train teaching staff and support staff as assigned on use of Child Plus attendance app.

11. Check Head Start and Early Head Start folders for required application documentation during monitoring visits or attach documentation in child plus.net.; maintain a filing system electronically through the NetShare or child plus.net.

12. Responsible for developing, initiating, and promoting male involvement program and events.

13. Collect data in all areas of ERSEA, Family Services and Health for self-assessment.

14. Meet regularly with ERSEA/Family Services Manager, ERSEA/Family Service Specialist(s), and content manager(s) to plan together effectively.

15. Participate in on-going training sessions and meetings to keep abreast of current OHS program policies.

16. Monitor and enter attendance corrections for assigned sites if needed to ensure it is being entered daily, correctly and notes are entered and that all staff are striving to meet the 85% attendance goal.

17. Review and assist with updating ERSEA/Family Service, and Health Procedures to ensure that they are accurate.

18. Assist, support, attend and review pregnant women and new parent home visits reports to determine if the procedure for Providing and Documenting Services to Pregnant Women/Parent of Newborn Infants is followed.

19. Attend, conduct and enter documentation of placement meetings of Early Head Start Children to Head Start or other placements to ensure transitions are conducted according to procedure and in a timely manner.

20. Review, Analyze, and provide feedback to family advocate(s) on Family Services Child Plus reports for accuracy and ensure that services provided to families are documented.

21. Willingness to work in the classroom as a last resort for severe staff shortages at site.

22. Submit reports and documentation of monitoring to ERSEA/Family Services Manager.

23. Collect data on father involvement in home visits, parent meetings and other related activities.

24. Analyze training needs of Family Advocates, recommend workshops, classes, and webinars, and provide training and technical assistance as needed.

25. Attend and support center level parent involvement events on a rotation basis to ensure they are effective and meeting the needs of families.

26. Attend and support center level staff with parent meetings by providing conducting meetings, providing resources, and program ideas to enhance parent leadership roles within the program and the community; order and distribute materials for program family literacy activities.

27. Ensure the parent curriculum is implemented to fidelity for assigned site(s).

28. Participate in and develop needed materials for the Parent, Family, and Community Engagement Framework Committee.

29. Preserve the confidentiality and integrity of all program information.

30. Perform other duties as assigned by supervisor.

31. Demonstrate an understanding of the Performance Standards and the Head Start Act.

32. Attendance is an essential function of your day-to-day responsibility and commitment to the program.

Job Type: Full-time
