Rebound is hiring a full-time Allocations Supervisor to join our Allocations team!
The Allocations Supervisor oversees provider, clinic, surgical, and call schedule allocations to maximize resource utilization and support efficient daily operations. The role partners closely with physicians, APPs, administration, clinic, and internal teams to maintain accurate schedules, address coverage needs, communicate changes, and support policy implementation. This supervisor also manages staff performance, hiring, training, timekeeping, and cross-department coordination to ensure effective scheduling operations.
Responsibilities:

- Create space allocation models considering the input and requests of physicians and administration.
- Ensure the Master Schedule is maintained utilizing allocation models and current provider calendars with minimal errors and frequent communication to departments as needed.
- Communicate space needs and challenges to physicians and other staff as appropriate.
- Ensure that physician and APP schedules are rolled out and maintained according to protocol, with the goal of maximizing resources.
- Assist in the enforcement of provider Days Worked policies. Maintain reporting for provider Days Worked, Call Days and Space Utilization.
- Create future call schedules and ensure the call calendar is distributed timely.
- Ensure strong communication with both internal and external partners regarding changes with schedules.
- Work with physician and administrative leadership to create and implement new policies and procedures.
- Manage timekeeping system for APPs and work in collaboration with finance on their worked location state.
- Take provider call outs and coordinate coverage as needed.
- Identify and solve physician concerns, questions, and suggestions related to provider schedules. Escalate to the Director as needed.
- Establish performance expectations and conduct staff evaluations to include setting appropriate individual goals.
- Recruit, hire, train and supervise staff, which includes managing schedules and timecards. Establish performance expectations and conduct staff evaluations to include setting appropriate individual goals.
- Coordinate with other supervisors and managers in supervision of daily operations.
- Maintain a high degree of confidentiality and abide by all HIPAA rules and regulations.
- Perform other duties as assigned.
Qualifications:
- Graduation from high school or GED. Business level college classes preferred. Other education and experience will be considered in lieu of recommended qualifications.
- 2 years medical experience in a clinic environment; orthopedics and/or neurosurgery preferred.
- 2 years clinic scheduling experience strongly preferred. Supervisory experience strongly preferred.
- Experience with Excel spreadsheets and Strong Outlook management
- Knowledge of general medical office processes and medical terminology.
- Ability to communicate clearly and work effectively with providers, management and co-workers.
- Skill in establishing and maintaining effective working relationships with patients, medical staff, and the public
- Ability to react calmly and effectively in stressful situations.
- Ability to read, understand, and follow oral and written instruction.
Physical Requirements:
- Work may require sitting for long periods of time
- Stooping, bending and stretching for files and supplies.
- Occasionally lifting files or paper weighing up to 30 pounds.
- Requires manual dexterity sufficient to operate a keyboard, operate a calculator, telephone, copier and other office equipment as necessary.
- It is necessary to view and type on computer screens for long periods.
- May be required to work under pressure.
- Works in close proximity to office personnel within limited work space.
- Interaction with others and phones can cause frequent disruptions.
- Tasks are of minimal hazardous conditions.
