Position Summary
The New Patient Consultant (NPC) serves as the first point of contact for prospective patients seeking consultation with our providers. This remote role is responsible for delivering an exceptional patient experience through professional phone, email, and digital communication while guiding prospective patients through the consultation scheduling process.
The NPC builds rapport quickly, evaluates patient eligibility for procedures based on established guidelines, and ensures accurate documentation of all patient interactions. This role requires strong communication skills, attention to detail, and the ability to manage multiple inquiries in a fast-paced environment.
Essential Duties and Responsibilities
Patient Communication & Scheduling
- Answer incoming multi-line calls with a professional, warm, and friendly demeanor.
- Respond to prospective patient inquiries via phone and email in a timely and articulate manner.
- Build rapport with patients quickly to establish trust and comfort.
- Provide accurate information regarding procedures, services, and consultation processes.
- Assess prospective patients for eligibility based on established criteria such as BMI, medical history indicators, and procedural guidelines.
- Schedule consultation appointments with appropriate providers and locations.
- Conduct proactive outreach to prospective patients and follow up on leads.
Patient Intake & Documentation
- Accurately enter and maintain patient information within designated scheduling and CRM platforms.
- Track communication with prospective patients including calls, emails, and follow-ups.
- Identify patient concerns or potential issues and document appropriately for clinic Patient Care Consultants.
- Ensure all patient information is recorded with accuracy and attention to detail.
Collaboration & Operational Support
- Work collaboratively with the NPC Manager, clinic teams, and leadership to support patient scheduling needs.
- Communicate promptly with management regarding patient concerns, escalations, or operational issues requiring attention.
- Participate in training sessions, team meetings, and ongoing development programs.
- Adhere to established protocols and procedures provided during onboarding and training.

Education and Experience
- High School Diploma or equivalent required.
- Minimum 2 years of experience in a call center, patient services, or phone-based customer service role.
- Sales or consultative scheduling experience preferred.
- Prior experience in healthcare, aesthetics, cosmetic surgery, or medical scheduling preferred.
- Proficiency with computer systems including Microsoft Word, Excel, Outlook, and scheduling or CRM platforms.

- This is a remote position based in Southern California.
